Legal Secretary - Trust & Estates The candidate will provides the attorney(s) direct assistance, helping with research for cases, gathering necessary documents and submitting paperwork for filing. The team assistant assists in scheduling client appointments, and provides secretarial support to the attorney(s). Assist attorneys in drafting, proofreading and preparing trusts and estates legal documents with minimal supervision. Maintain attorney calendar by planning and scheduling conferences, meetings and depositions and arrange for conference rooms; recording and monitoring court appearance dates, pleadings, and filing requirements. Maintain hard copy and electronic filing system. Prepare correspondence and mailings. Enter time for billing purposes. Assist and teach new attorneys and team assistants about protocols for filling out and submitting court documents. Knowledge of legal secretarial principles and practices at a level normally acquired through training or its equivalent. Approximately 5 years on the job experience in order to gain expertise needed to do substantive legal work in the area of trusts and estates. Must be familiar with the Hawaii Rules of Civil Procedure, the Hawaii Rules of the Circuit Court, the Hawaii Rules of Appellate Court, and the Hawaii Probate Rules for purposes of calendaring deadlines and service requirements. Strong organizational skills, ability to multi-task effectively, prioritize work and responsibilities in a fast paced, changing environment. Ability to proofread typed material for contextual, grammatical, typographical or spelling errors. Excellent computer skills essential. Knowledge of Circuit Court e-filing. Extensive knowledge of Microsoft Office. Utilize computerized techniques and software when applicable. Excellent communication skills, both oral and written, to effectively communicate with clients and colleagues in a clear, concise manner. Ability to maintain highest levels of confidentiality. Notary license, or willingness to obtain notary license shortly after hire. Ability to work extended hours as necessary to fulfill responsibilities.
