Legal Secretary The candidate will work for the education firm with a wide range of experiences that include: All Special Education issues; Transition issues; Homeschooling; Suspension and Expulsion; Student Safety and Personal Injury; Bullying; Harassment; Discrimination; Charter Schools; and Evaluations. Will set up and maintain administrative and client files; file electronic and/or paper documents and information promptly and accurately. Maintain file organization and updated indices. Proactively maintain/oversee Attorney(s) workload and caseload; anticipate next steps and implement follow-up procedures to ensure each task is appropriately tracked and carried through to completion. Create, edit, revise, redline, and/or proofread documents from dictation, handwritten, typed, and/or electronic copy. Actively manage and maintain schedules and calendars of Attorney(s) using current software applications (Outlook Calendar and Clio), and apprise them of responsibilities in advance of commitment. Correspond with clients and other parties to schedule meetings. Correspondence with the administrative hearing officers and case managers. Process and route incoming mail and electronic communications upon receipt and prepare outgoing mail for prompt delivery, arranging for messenger services as needed to meet deadlines. Perform general administrative activities including screening and directing incoming email, composing and typing general correspondence. Requires a high school diploma or equivalent and 1+ year(s) as a paralegal, legal secretary or legal practice assistant in a law firm. Demonstrates confidence, composure and professionalism. Advanced problem-solving skills required. Ability to effectively manage multiple projects, meet deadlines and reprioritize as needed; follows through on commitments required. Ability to communicate clearly and concisely, both orally and in writing, with attention to detail required. Ability to work independently and as part of a team required. Ability to deliver consistently high quality and professional customer service to clients required. Ability to handle confidential and sensitive information required. Ability to exercise sound judgment and independent decision making required. Comfortable with routinely shifting demands required. Knowledge of general office administration procedures and equipment required. Ability to perform successfully in a fast-paced, dynamic environment required. Progressive administrative experience required. Familiarity with state and federal court and administrative agency rules, procedures, and deadlines required. Advanced proficiency in Microsoft Office Suite required. Exemplary written and verbal communication required. Demonstrated ability to work independently and prioritize multiple, high-priority tasks required. Flexibility to perform job tasks outside of the job description when necessary. Spanish Speaking is a plus. Experience with Special Education Law and/or Disability Rights law procedures and terminology preferred. Experience with Clio Legal Software preferred. 1 year of experience required. High school or equivalent required. Paralegal preferred. Spanish preferred.
