Legal Secretary The candidate will accurately using a variety of programs and applications for day-to-day operations. Answering and routing incoming calls on a multi-line telephone system; taking messages. Responding to all prospective new client leads and inquiries in a timely manner. Scheduling clients and calendaring client meetings, deadlines, and other important dates for multiple attorneys. Using a commercial printer to make and collate copies of legal documents and correspondence. Scanning, saving, and noting all incoming and outgoing correspondence. Maintaining current and creating new electronic and paper files. Accepting client payments; assisting with accounting and billing as needed. Setting up and maintaining the lobby and conference room for clients; greeting clients. Compiling, proofreading, and revising drafts of legal documents and correspondence. Drafting transmittals and basic correspondence to clients, opposing counsel, and courts. Preparing and assembling legal documents for filing with statewide courts and systems. Assisting attorneys with research, correspondence, and transactional matters. Supporting other members of the firm with miscellaneous tasks. Should have 3+ years of experience in an administrative position. Must have strong clerical skills, including typing, spelling, and grammar. Should have proficiency in Microsoft Office (Word and Excel), Google Business Suite (Google Drive, Gmail, Google Docs), and Adobe. Must have aptitude to learn new programs and legal software (Clio, Lexicata, Trello, etc.). Associates Degree or higher preferred. Experience with real estate, business, and/or estate planning law desired. Must have basic knowledge of law firm operations; experience at another law firm.
