Legal Secretary Duties: Assists legal team in all clerical functions as directed by the team attorney or manager. Opens and enters mail into case notes, generates all necessary response letters. Opens and closes all checklist in client files. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics; coordinating case preparation. Drafts letters and documents. Answers all client phone calls and addresses all questions and concerns. Completes all dictation transcriptions from team attorney. Files and answers petitions with Bureau of Workers Compensation and/or Judge. Maintains appropriate case type as determined by present litigation. Prepares medical requests for claimant s treating physicians. Handles daily uploading and obtaining of relevant case information from the Bureau of Workers Compensation management system, WCAIS. Enters attorney appearance via mail and/or WCAIS. Obtains prior workers compensation claim history from Bureau of Workers Compensation. Answers attorney direct lines and monitors email; serving as liaison between attorney and clients by resolving routine and some complex inquiries. Formats and files briefs at all judicial levels. Prepares responses to counsel, adjusters, and judges. Maintains continual contact with client via follow up with status reports and/or telephone calls to obtain status. Maintains attorney s hearing calendar as well tickler dates appropriately. New client intakes. Scans all documents into client files. Dictation. Schedules client appointments and/or telephone conferences. Maintains client s file in case management system (Needles), updating information as necessary. Qualifications: Bachelor's degree (B.A.) from four-year College or University; or 1-2 years related experience and/or training; or equivalent combination of education and experience. Knowledge of Internet, Spreadsheet, Microsoft Word, Microsoft Outlook, and Case Management software. Excellent typing skills required. Dictation transcription is necessary. Demonstrates attention to detail, is organized and can focus on follow-up. Interpersonal Skills - Focuses on solving conflict, not blaming. Oral Communication - Listens and gets clarification; speaks clearly and articulately in both positive and negative situations. Written Communication - Writes clearly and informatively; edits work for spelling and grammar; Varies writing style to meet needs; able to read and interpret written information. Teamwork - Balances team and individual responsibilities; contributes to building a positive team spirit. Problem Solving Ability to identify urgency and prioritize tasks accordingly. Professionalism Ability to maintain composure and professionalism under pressure as well as adapt to new situations and changing priorities. Quality - Demonstrates accuracy and thoroughness; looks for ways to improve and promote quality. Attendance/Punctuality is consistently at work and on time. Dependability - Follows instructions, responds to management direction; commits to long hours of work when necessary to reach goals. Ability to maintain confidentiality.
