Receptionist/Legal Secretary The candidate will be answering incoming calls, assisting with inquires, directing callers, and taking messages. Greeting and directing clients, vendors, and visitors. Coordinating and scheduling availability of conference rooms. Using Outlook, Word, and other Microsoft Office products. General office duties, such as preparing copies, printing e-mails, and documents. Organizing and maintaining workroom and supplies. Typing documents, pleadings, correspondence, memoranda required. Submitting state and federal court filings required. Handling client matters (when appropriate) through telephone and e-mail. Using Direct Time Entry (software package). Keeps record of attorney's time and expenses and submits to Accounting Department in a timely fashion; recapping expense memoranda and other miscellaneous accounting projects as assigned. Maintain work calendars by scheduling appointments, conference calls and other meetings. Prepare Expense Memoranda. Maintain work calendars by scheduling appointments, conference calls and other meetings. Prepare travel, hotel and car arrangements by using the internet. Organize and maintain extensive sets of files, both paper and electronic. Use File Surf (software package) and organizing/maintaining sets of files. High School (or equivalent) required; college given preference. 1-year experience in the secretarial field; preference given to legal experience required. Advanced knowledge of Microsoft Word required. Experience with Power Point and Excel required. Excellent grammar and spelling skills required. Ability to use transcription equipment a plus.
