Law Firm Receptionist / Junior Legal Secretary Candidate will specialize in employment law, professional liability with an emphasis on design professionals, construction, toxic tort, business and general liability litigation. Represent clients in simple and complex litigation before state and federal courts, as well as administrative agencies. Will be providing proactive counseling and training to help clients attain their dynamic business goals and prevent litigation. Will be responsible for answering and routing calls, entering information into our internal systems, communicating with clients, attorneys, and other staff, assisting secretaries and attorneys, and providing general support to the smooth running of the office. Manages front office area. Orders supplies. Ensures smooth overall day-to-day office operations from an administrative standpoint. Proven people skills. Able to Multi-Task. Greeting clients and visitors and answering visitor inquiries. Updating and maintaining extensive databases. Scanning, photocopying, faxing and filing. Collecting, sorting and distributing mail. Assist Legal Secretaries with overflow. Other miscellaneous administrative tasks as needed. Other miscellaneous legal secretary tasks as needed.
Candidate will have: Bachelor's degree (strongly preferred). 2+ years receptionist or administrative office experience required. Experience in a law firm highly preferred. Experience handling a multi-line phone system. Excellent administrative skills, a sparkling personality, and possess superior customer service abilities. Should enjoy greeting and talking to people, building relationships with clients and vendors that enter office (including employees of the firm), and taking pride and ownership of their responsibilities and duties. Requires extraordinary phone etiquette, the ability to efficiently multi-task and remain organized. Extraordinary phone etiquette. Strong organizational skills. Excellent communication skills and strong phone etiquette. Experience in the Microsoft Office Suite, Outlook, Word, and Excel. Strong Word and word processing experience highly preferred.
