Legal Secretary DUTIES: Coordinate all aspects of administration in office in concert with management. Maintain firm case files in accordance with file procedures; Ensure adequate supplies are purchased and stocked; Process incoming and outgoing mail, FedEx, UPS and other shipments; Bate Stamp documents and exhibits; Prepare legal papers such as answers, discovery and all forms of motions, and correspondence of a legal nature. Working knowledge of e-filing and eDiscovery; Assist in issuing preparation, issuance and tracking subpoenas; Perform other duties such as scheduling appointments, calendaring deadlines, providing information to callers, composing routine correspondence and reading and routing incoming mail; Maintain computerized appointment calendar for attorneys and confirm scheduling of appointments, hearings, mediations as required; Arrange depositions, travel, court hearings and other meetings or conferences; Conduct basic factual/background research; Communicate case information to clients in person, by telephone and through electronic mail; Coordinate arrangements for services by legal service providers such as copy services, messengers, court reporters and audio/visual services; Operate standard office equipment to include photocopy machines, fax machines, printers, transcribers, etc; Coordinate with attorney(s) and paralegal methods for plan document management, ediscovery and litigation support needs for cases; Working knowledge of software, Lexis research tool, Microsoft Office Suite; Maintains firm MCLE tracking for all Attorneys; and Coordinates all MCLE related events including registrations and in house presentations. Supervise performance of legal service vendors, service clerks, and temporary word processing personnel as required. Responsibilities include directing work, addressing complaints, and resolving problems. QUALIFICATIONS: Associates degree (A.A.) or equivalent from two-year College or technical school; or 3-5 years related experience and/ or training; or equivalent combination of education and experience. Knowledge of grammatical rules for the English language and strong spelling skills. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to effectively present information and respond to questions from attorneys, clients, coworkers, and the general public.
