Paralegal & Legal Support Services Manager The candidate will oversee all aspects of the non-lawyer timekeepers (paralegal) and Legal Practice Assistants (LPA) for the Washington, D.C. office to include interviewing and hiring, providing training, handling evaluation and compensation processes, and coaching and counseling timekeepers and LPAs regarding skills, best practices, and efficiency. Will provide administrative support to lawyers for any function associated with the paralegal or LPA teams. Evaluates staffing to determine headcount requirements; coordinates with Director of Practice Management regarding utilization and works with Human Resources to obtain approval for new or replacement positions; conducts recruiting efforts for Paralegals and LPAs in conjunction with Human Resources. Manages job performance, employee relations issues, and counseling for paralegals and LPAs; in conjunction with Human Resources drafts and administers counseling/warning memos. Coordinates all paralegal and LPA work requests from resident office and other offices or departments. Working with the LPA Coordinators, arranges LPA assistance for visiting attorneys; ensures all necessary accommodations for the completion and production of all overflow work, including smooth transitions from daytime work to Resource Center (ATL, NYC) and Saturday coverage needs; and oversees back-up LPA assignments if/when LPAs are absent. Monitors billable/non-billable hours, works with timekeepers and lawyers to provide updates on productivity; prepares and sends monthly productivity and profitability reports to practice group leaders or their designee. Reviews and makes recommendations to the Director of Practice Management on paralegal and LPA utilization. Analyzes compensation data, provides input for compensation administration including analysis of survey data for compensation and bonus; works with Director of Practice Management to establish compensation program guidelines. Assists with the execution of the evaluation process; reviews completed evaluations and conducts annual performance review meetings for team members. Utilizes Excel and budget software to prepare people and expense budget for departments and monitors accounts. Communicates and upholds Firm policies. Monitors paralegal and LPA adherence to Firm policies and individually addresses issues when such policies are not followed. Follows the ethical requirements as set forth by the Rules of Professional Conduct of the state in which employed. Collaborates with Paralegal & Legal Support Services Managers in other offices. Executes on all other duties as assigned by the Director of Practice Management and/or the Director of Administration. Requirements: A four-year college degree, prior paralegal experience, and 5+ years experience in supervision, coordination, or management. Ability to communicate well with all levels within the firm; excellent interpersonal skills; communicate with and carry out instructions given by a diverse group of lawyers and staff and provide information with ordinary courtesy and tact. Ability to design training materials, write memoranda and letters and other forms of written communication. Ability to develop creative solutions to various types of problems; ability to work under pressure and deal with very large volumes of work with demanding deadlines. Proficiency in Microsoft and a familiarity with computerized litigation techniques and software required.
