Legal Secretary Duties: Perform administrative support for several assigned attorneys by utilizing knowledge of the legal system and office equipment in the preparation and service of legal documents. Open, maintain, and close attorney files in an organized fashion. Request final bills from billing department for closed files. Prepare all closed files for storage in the warehouse. Accurately transcribe correspondence, memos, legal documents and reports. Proofread completed transcription and make revisions, as necessary. Prepare legal documents for timely filing with the court. File documents electronically in federal courts, as well as other states and jurisdictions. Prepare accurate deposition summaries and abstracts. Answer attorney telephone lines using a client-friendly greeting, take detailed messages and place outgoing calls at attorney instruction. Professionally communicateas necessary with clients, outside counsel, vendors, and court reporters. Within Firm deadlines enter attorney time sheets into time entry program. In a timely manner, submit invoices for services rendered to accounting or directly to client for payment. Open, sort, record and route incoming mail to appropriate attorney in a timely fashion. Accurately maintain attorney diary/calendar system. Prepare detailed jury instructions and proactively order court reporters. Make attorney travel arrangements at attorney instruction. Prepare detailed and accurate expense reports at attorney discretion. Coordinate administrative matters between Accounting, Billing, Law Clerks, Legal Assistants, messenger services, travel agency, and attorneys. Qualifications: 3+ years experience as a legal secretary in a law firm. Prior experience working with federal and state cases. Typing speed of at least 65-75 wpm. Consistent and predictable attendance. Knowledge of e-filing. Proficient in MS Word (utilizing styles, table of contents and table of authorities), Excel and Outlook. Ability to work independently, prioritize workload, and meet deadlines. Strong written and verbal communication skills. Problem solving and organizational skills. Ability to maintain a high level of confidentiality. Flexible team player attitude with strong customer service orientation. Ability to adapt to various situations .
