Legal Secretary RESPONSIBILITIES: Help expand a family law practice and keep on top of legal secretarial tasks of a dynamic attorney. Assist in the preparation of pleading, motions, reports and other client documents from formatting, typing edits, dictation and proof reading to ensure correct spelling, punctuation and proper grammar. Assist attorney with time entry for billing purposes and prepare monthly billing through review to mailing. Processing of incoming and outgoing mail to include time/date stamping, filing and scanning into proper client file. Answer a multi-line telephone system, determine the purpose of calls, and transfer callers to appropriate personnel. Maintain, organize and update all client and nonclient paper and electronic files and prepare all closed files for storage. Maintain and monitor attorney calendar, including scheduling and updating appointments, deadlines, reminders, court appearances and other events. Schedule as efficiently as possible, and avoid schedule conflicts and/or wasted time. Assists attorney in finding coverage for unavoidable conflicts. Transcribe the attorney s dictation accurately and in a timely manner. Understand of court system to file pleadings as directed by the attorney and to request and obtain public records. Regularly check all necessary court dockets for recent filings, journal entries and orders.
Qualifications: High school or equivalent. Experience in the role of legal secretary and family law experience a plus. Exceptional people skills and a positive, can-do attitude. Must be a team player, willing to support other team members and attorneys. Strong communication, writing, and organizational skills. Typing of 60 WPM. Advanced proficiency in Microsoft Office Word and Excel. Organized and detailed oriented. Excellent editing and proofreading skills. Must protect and respect confidential client information.
