Paralegal/Legal Assistant The candidate will be scheduling of appointments for department. Administrative support for department. Keep department organized and work flow smooth. Screening and follow up calls/emails for potential clients and current clients. Maintain client relationships with the department. Ensure client expectations (re communication, meetings and telephone calls and other feedback from attorney, delivery of drafts and originals) are known and met. Maintain accuracy of information for department. Maintain reports tracking ongoing clients and work. Filing of legal documents with county, state, and federal offices. Preparation of Quit Claim and Beneficiary Deeds; filing with county clerk and recorder offices. Drafting and filing of pleadings/motions/etc. with state district courts. Attend client meetings and take accurate notes. Preparation of documents for clients before meetings and execution. Binding and mailing of original documents (accuracy a must). Setting up and opening files for department, including completion of client information sheet, set up of hard file and computer file, order of label, etc. Track physical location of files and documents. Research to locate files and documents as needed. Maintain tickler system for all department associates. Paper filing for all department associates on a regular basis. Closing out and handling of files for department. Preparation of marketing materials and mailings when needed. Other duties as needed to maintain production of estate planning department. Research, including internet research, for client cases when needed. Mailing and preparation of letters and documents including Crummey letters, court pleadings as necessary, and client correspondence. Drafting of estate planning documents including wills, trusts, Powers of Attorney. Outlook calendar use, high level of customer service and accuracy a must. Must have 1 year of experience in Estate Planning/Probate.
