Paralegal/Legal Assistant Duties: Greet all clients and take accurate messages (with the proper return phone number and name of the person calling) when individuals are not available, receives deliveries by courier or messenger, and received and sends faxes. Promptly forwards all potential client calls as the Regional Team Leader, Client Intake Director, Partners or Managing Partners designate. Prepares and drafts legal documents for filing with appropriate entities and necessary correspondence. Shall ensure the accuracy of all documents prepared. Performs administrative duties including basic research, filing, mailings, organizes files and pleading panels, calendaring telephone communication. Takes payments from clients and promptly provides to the Director of Administration all payments received via the safe for each office. Conducts legal research for particular issues as assigned by attorneys using periodicals, law library, public records, and offices. Takes messages when individuals are not available, receives deliveries by courier or messenger, and receives and sends faxes. Makes copies. Shall forward copies of documents provided to the legal assistant / paralegal to clients and other parties upon request of attorney. Returns all client phone calls left before 5 : 00 p.m. the same day. When any attorney is on vacation, shall check the voice mail of said attorney and return all client phone calls in the attorneys absence and e-mail to that attorney the name and number of the person who called. Enter all billable hours completed on a given day into the designated timekeeping or billing software the same day. Ensures that when there are multiple cases in which they can work, that case in which a client has money in the Firms trust account are given preference. Remind all clients to maintain trust balance at appropriate level and pay outstanding balances and make collections calls as directed by attorneys. Shall maintain a team player and non-entitlement mentality. Shall complete and follow the case checklist in working up cases. Performs any other reasonable task requested by the Firm Management Team. Reports directly to the attorneys under which they work and, ultimately, the Regional Team Leader or Partner. Only reports directly to the Firm Management Team in matters of emergency or in any other instance the Senior Attorney or Managing Partners so designate (i.e., cases in which the paralegal / legal assistant is working directly with a Managing Partner on cases).
Qualifications: Paralegal degree or certificate and / or 3 years of legal experience. Domestic experience preferred. Familiarity with PC programs. Strong computer skills. Strong written and oral communication skills. The ability to work in a fast paced environment.
