Seeking Criminal Defense Paralegal / Legal Assistant with experience. The candidate will provide excellent internal and external customer service in addition to providing legal assistance to our attorneys utilizing current litigation support techniques, software and equipment. Provide excellent internal and external customer service and legal assistance to attorneys in preparation for litigation. Provide complex legal support by utilizing current litigation support techniques, software and equipment. Completes all data entry and case file management tasks including: set up and maintain client files, indices, labels, folders, exhibit tabs, binders, etc. with proficiency and accuracy. Maintains case team calendar by planning and scheduling conferences, teleconferences, depositions and scheduling case management deadlines and relevant reminders pertaining to attorney dockets. Organizes client conferences and attorney meetings and schedules couriers, court reporters, caterers, expert witnesses and other special functions and services. Book conference rooms for meetings, including audio visual services, and arrange for meal service, if required. Set up conference calls utilizing conferencing technology. Assist in drafting correspondence, pleadings, memos, charts, etc. Proofreads and reformats as requested with accuracy and attention to detail. Performs general clerical duties including, but not limited to: photocopying, faxing, scanning, mailing, printing and filing. Research, print and organize case materials, pleadings and correspondence from document management systems as needed by case teams. Coordinates preparation of reports, exhibits, charts, graphs and other courtroom visual aids and materials. Records and monitors court appearance dates, pleadings and filing requirements. Anticipates changes in litigation or transaction requirements. Represents attorney in a professional way by communicating and obtaining information from colleagues, co-counsel, opposing counsel, clients, courts, etc. Follows up on delegated assignments; knowing when to act and when to refer matters to attorney or case team. Responsible for providing occasional back-up support for receptionist. Responsible for tracking and entering time. Maintains client confidence by keeping client/attorney information confidential. Demonstrates diligence and commitment to meeting all deadlines and maintaining composure in high-stress or hectic scenarios. Maintains professional interaction with clients, attorneys and office colleagues. Exhibits commitment to teamwork by establishing and maintaining good working relationships with clients, attorneys and office colleagues. Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations. Maintains skill set with current software and applications by attending all mandatory training sessions. Enhances department and organization reputation by accepting ownership for accomplishing new and different requests, accepting responsibility for missteps and lost opportunities, and exploring opportunities to add value to position, team, office and firm. REQUIREMENTS: H.S. Diploma and Paralegal Certificate or equivalent education/experience. Preferred: Bachelor's degree. 1-2 years of experience in a paralegal capacity in a fast-paced legal environment supporting by providing excellent customer service and assistance to Criminal Defense attorneys utilizing current litigation support techniques, software and equipment. EXPERIENCE Preferred: On-site trial support experience. Must have strong customer/collaboration skills. Proficiency with common office equipment and applications including: Microsoft Word, Excel, Outlook, PowerPoint, Mail Merge, Adobe Acrobat, OCR Software, Internet Explorer, WordPerfect, Time Slips, TABS. Excellent oral and written communication, keen attention to detail, dependability, professionalism, and strong client relationships (internal and external). Ability to use public and proprietary databases to calendar conferences, depositions and meetings and to conduct legal research, download and upload documents, pleadings, court orders, case law, medical records and investigation reports. Must be self-directed and have excellent organizational skills with the ability to prioritize and manage multiple tasks in a fast-paced environment. Typing skills at minimum of 60 w.p.m. & ability to use multi-line telephone system. Preferred: Bilingual (English & Spanish). Proficient at transcribing dictation. Proficient at legal research using Westlaw databases. Shorthand. Ability to use public and proprietary databases to calendar conferences, depositions and meetings and to conduct legal research, download and upload documents, pleadings, court orders, case law, medical records and investigation reports. Experience with office management, facilities management, accounts payable and/or accounts receivable a plus. Experience answering and successfully managing a multi-line phone system a plus. Demonstrates proficiency in use of personal computer, all relevant software, tools and applications and other common office and business equipment, including copy and fax machines, scanners, printers, binders, multi-line telephone systems, etc. Demonstrates proficiency and skills necessary for indexing, binding, compiling, organizing, scanning, and uploading pleadings, correspondence, case materials, research materials, graphics and supplies in anticipation of hearings, depositions and trial. Demonstrates strong multi-tasking and time management skills, ability to successfully prioritize, consistency in personal commitment to seeking clarification, guidance and training when necessary and commitment to team work and collaboration. Paralegal / Legal Assistant - Family Law The candidate, in lieu of a receptionist, greets all clients and take accurate messages (with the proper return phone number and name of the person calling) when individuals are not available, receives deliveries by courier or messenger, and received and sends faxes. Promptly forwards all potential client calls as the Regional Team Leader, Client Intake Director, Partners or Managing Partners designate. Prepares and drafts legal documents for filing with appropriate entities and necessary correspondence. Shall ensure the accuracy of all documents prepared. Performs administrative duties including basic research, filing, mailings, organizes files and pleading panels, calendaring telephone communication. Takes payments from clients and promptly provides to the Director of Administration all payments received via the safe for each office. Conducts legal research for particular issues as assigned by attorneys using periodicals, law library, public records, and offices. Takes messages when individuals are not available, receives deliveries by courier or messenger, and receives and sends faxes. Makes copies. Shall forward copies of documents provided to the legal assistant/paralegal to clients and other parties upon request of attorney. Returns all client phone calls left before 5:00 p.m. the same day. When any attorney is on vacation, shall check the voice mail of said attorney and return all client phone calls in the attorney s absence and email to that attorney the name and number of the person who called. Enters all billable hours completed on a given day into the designated timekeeping or billing software the same day. Ensures that when there are multiple cases in which they can work, that case in which a client has money in the Firm s trust account are given preference. Reminds all clients to maintain trust balance at appropriate level and pay outstanding balances and make collections calls as directed by attorneys. Shall complete and follow the case checklist in working up cases. Performs any other reasonable task requested by the Firm Management Team. Reports directly to the attorneys under which they work and, ultimately, the Regional Team Leader or Partner. Must have Paralegal degree or certificate and/or 3+ years of legal experience.
