Legal Secretary The candidate will be responsible to work with multiple attorneys providing a full range of support including, preparation/revision of correspondence, pleadings and documents; calendar maintenance; various office and client filing and electronic transcription. Engage in the work of the attorney by demonstrating knowledge and status of current cases and projects, utilizing available resources in order to achieve. Provide support to four attorneys in employment law matters and backup support as needed. Answer phones and communicate with clients, vendors, attorneys and court personnel on a daily basis. Prepare legal documents, correspondence and pleadings, including electronic filing with state and federal courts and agencies. Manage attorneys calendars (including travel arrangements), expense reports, CLE, coordinate meetings and depositions, and client billing. Organize and maintain case files, ensure files are up to date and ready for quick access and reference. Maintain a superior degree of confidentiality when handling sensitive and confidential documents, information and files. Calendar deadlines according to court and agency rules.
The candidate should preferably have a High school diploma, associates or bachelors degree. Minimum of 4 years litigation secretary experience. Solid understanding of technical legal terminology, court filings, federal and state court/agency rules and procedures is required. Strong ability to write and communicate effectively, tactfully and professionally with attorneys, clients, court personnel and vendors is necessary. Excellent grammar, spelling and punctuation usage is must. Must be proficient in Microsoft Office Suite programs. Ability to prioritize and work independently under pressure in a fast-paced environment on a daily basis is required. Must be punctual with excellent attendance. Previous experience with a document management system (NetDocuments) and preparing tables of authorities and tables of contents is a plus.
