This firm is often at the top of the list of prominent Boston law firms. Large and growing, these lawyers are well-connected throughout the Boston area, and are looking to increase the reach of their influence. With beautiful offices (that seem to go on and on...) the lawyers here are generally quite happy with their practice. Why? At the associate level, lawyers are given a bit more responsibility than your average law firm lawyer, and depending on the practice group, given quite solid training and structured mentoring. Although the partners are increasingly conscious of the billable hours of their associates, they are generally accessible. In particular, several of the litigation partners bring in high level litigation work and remain very involved throughout to monitor and guide the associates participation.
Legal Secretary Candidate will: Provide high quality and efficient legal secretarial and administrative service, by maintaining good client relationship and providing professional support to a team of attorney, specialist, legal assistant, manager and director. Relieve team member of clerical work and minor administrative and business detail. Answer telephone call and take accurate and complete message, give information to caller, refer to other, or hold for team member. Provide relevant and timely information to client and team member (including time when they are out of the office) in a professional, courteou, and effective manner. Retrieve voice mail message, arrange conference call. Prepare accurate, error-free, and properly formatted legal paper and correspondence from all draft. Is familiar with certain court procedure, formatting of brief, pleading and other legal document if necessary. Compile, type, revise, combine, edit, print, and store document. Compile material to be typed following written or oral instruction from supervisor or person requesting document to determine format desired, number of copie needed, priority, and other requirement. Read instruction and accompanying material, or follow verbal instruction from supervisor or person requesting document to determine format and content required. Establish spacing, margin, type size, style and color, and other parameter, using computer and word processing software. Type, revise, and combine material such a correspondence, report, record, form, minute of meeting, scientific or technical material, numerical data, and tabular information from rough draft, corrected copy, recorded voice dictation, or previous version. Check completed document for spelling error, using software. Proofread and edit document for grammar, spelling, punctuation, and format. Correct error. Input data for revision or editing. File document and email in the Firm electronic document software. Distribute correspondence using scanning, PDF, email or hard copy delivery. May compile and type statistical report. Have proficient technical user knowledge of advanced function of Microsoft Word 2010 word processing software and 60 wpm typing speed. Adaptable to learning new software. Input team members time entry on a daily basis. Open new client and/or matter number; perform conflict check; request pre-bill selection of monthly bill for attorney review; make appropriate transfer, write-off, and correction; applied retainer, on account fee, and on account disbursement for third-party billing ; handle special billing request from client, i.e., travel detail, special billing format ; copy, mail and forward copy of finalized bill to Accounting Department; maintain billing file ; receive, copy, file and submit client check to Accounting Department; prepare client audit report ; act a liaison with Accounting Department on past due receivable. Schedule appointment, including meeting, conference, court date, and deposition for team member. Coordinate work flow and prioritize work so that all deadline can be met. Arrange travel schedule and reservation for team member. Reserve conference room for meeting; arrange for special equipment, and coordinate catering service. Review, prioritize, and route incoming mail. Prepare outgoing mail and overnight package using the postage-metering machine, scale, and Federal Express. Coordinate messenger pickup and delivery. Maintain current and orderly file according to Firm guideline, including, but not limited to client file, chronological, administrative, material for closing, etc. Provide quick retrieval of information, general document control, and update material. Close file and send to storage following Firm policy.
