Legal Secretary The candidate will prepare, edit, proofread and finalize pleadings and discovery documents for filing and service. Create, edit, revise, redline and/or proofread documents from dictation, handwritten, typed and/or electric copy. Coordinate with process servers and attorneys services to ensure timely service and/or filing of legal instruments. Prepare, send and track subpoenas. Schedule depositions with multiple parties, including attorney, clients and court reporters. Create pleadings/discovery binders. Docket and track deadlines and send reminders to the legal team. Cite-check and proofread briefs and legal documents. Ensure that documents are properly formatted and in compliance with court rules. Coordinate witnesses. Prepare and format trial documents. Coordinate the preparation of charts, graphs, and other courtroom visuals. Schedule couriers, court reporters and expert witnesses. Coordinate travel arrangements for attorneys, witnesses, clients and others. Prepare and timely submit attorneys expense reports. Transcribe dictation and format text, data and graphics. Docket and track case deadlines. Enter time for attorneys into computerized timekeeping system. Organization and review of invoices. Organize client conferences and attorney meetings. Maintain attorneys calendars by planning and scheduling conferences, teleconferences, depositions and travel. Coordinate preliminary conflict checks. Prepare new client/matter intake forms and engagement letters and audit responses. Assist with special projects and cooperate as a team member with other support staff in performing any duties essential to the achievement of efficient operations. May perform other duties not listed above. High School diploma or G.E.D. equivalent. 4 years of law firm experience as a secretary in trial or litigation are required. Extensive knowledge of litigation and trial procedures, federal and state court procedures and federal and state court rules are required. Proficiency in Microsoft Office products, including Word, Excel, and Adobe Acrobat are required. Accurate typing skills of at least 50 wpm are required. Excellent oral and written communication skills and the ability to communicate effectively with all levels of personnel are required. Excellent organizational skills and attention to detail are required. A strong and professional work ethic are required. Good judgment in solving problems and resolving conflicts, along with strong customer service focus and skills are required.
