Attorney Resources Coordinator The candidate works closely cross-functionally with the global Human Capital Management (HCM) team and supports the Managers in the delivery of the end to end employee lifecycle in NY, partnering with other members of the team as appropriate. Partners with other departments as needed including Information Systems, Operations and Finance to provide excellent customer service to attorneys and business services employees of all levels. Provides support to Managers in the delivery of HR service and full administrative support in the execution of all HR processes and initiatives such as onboarding, off-boarding, performance management, talent management, diversity, and employee engagement. Coordinates all aspects of administrative procedures including hire, termination, employee data changes in pay rate, job title, promotion, bonus payments, relocations, secondments, non-FMLA leaves of absence, etc.. Creates and maintains I-9 records for attorneys; maintains notification reminders of expiration of work authorization and procures updated Form I-9 documentation where required. Coordinates orientation process for new attorney hires and provides support in connection with partner and incoming first year associate onboarding. Plays a role in the organization of the New Associate Academy, including participation in all the associated events and preparation of pre-hire communications and HR paperwork. Coordinates and processes reimbursements for incoming and lateral attorneys of expenses in connection with the bar examination and moving. Supports the Managers in the maintenance of attorney vacation records, including verification of calculations, audits, carry-over approval and payouts when required. Coordinates all administrative aspects related to hires, terminations and engagement of temporary/contract attorneys. Supports the attorney bar admission process, including preparation of employment affirmations, as supervised by the Managers. Maintains exit interview database for departing attorneys and provides support as needed in conducting analyses as directed by the Managers. Coordinates all pre-employment administrative matters and supports Managers in the process of communications with incoming entry-level associates, organizing and maintaining consolidated records regarding bar exam registration; bar review course registration; expense reimbursement; payment of stipends, bonuses and salary advances; credential verification; conflicts and background check procedures. Coordinates onboarding of contract attorneys. Oversees employment verification process for attorneys, including handling requests by current and former attorneys and authorized third parties in reference to employment verifications (general, mortgage, etc.). Processes updates to Firm records and databases to reflect changes in attorney status (name, bar admission, position change, etc.). Maintains attorney personnel files. Orders baby gifts, wedding gifts, flowers and/or charitable donations for legal staff. Partners with others members of the HCM team and acts as one team to the internal clients. Participates in global projects led by other members of the HCM team. Performs other tasks and duties as assigned. Bachelor's Degree is required. Should have 3+ years of relevant experience, preferably in a law firm, professional services or corporate environment.
