Intellectual Property Legal Secretary The candidate will transcribe, edit and finalize letters, memoranda, and other legal documents as assigned. Manage files including opening new files, retrieving files and maintaining files according to firm protocol. Provide professional interaction with client and PTO Examiners. Generate both trademark and patent forms for client/attorney signature and filing. Review docket with attorney(s) and coordinate appropriate action as necessary. Make travel arrangements. Assist attorneys with office procedures, as required. Provide administrative and secretarial support for attorney(s), as designated by supervising attorney. Transcribe legal documents, correspondence, contracts, and memoranda. Review and edit prepared documents for accuracy, including accurate proofreading. Receive mail and other deliveries; match correspondence to files. Prepare forms for client signature and filing in the USPTO. Maintain up-to-date knowledge of court rules and filing procedures required and research court rules in other jurisdictions as necessary to complete filings. Maintain client files. Offer assistance to other secretaries when needed. High school diploma or GED equivalent required. College level courses/degree preferred. Minimum five years Legal Secretary experience in a law firm environment, including two years Intellectual Property experience, required, Above average proficiency in Microsoft Word with strong and accurate typing skills. Excellent proofreading, editing, grammar, communication and organizational skills, as well as an ability to prioritize. Devotion to excellence for all responsibilities, including those that are more repetitive and administrative in nature. Ability to absorb training quickly and efficiently. Take initiative to improve procedures. Demonstrate a positive attitude towards work. Work efficiently under minimal supervision. Interact well with others to gain confidence and respect of peers. Adhere to and supports the firm's standards, policies and procedures. Manage a heavy IP desk, including managing calendar and planning workload. Maintain cooperative, diplomatic working relationships with co-workers, attorneys and supervisors; work as part of a team and collaborate with colleagues. Complete projects under tight deadlines even when there are competing requirements and changes in assignments.
