The San Francisco office of this mid-size firm is engaged primarily in litigation and general business, although the firm boasts a solid regulatory and administrative law practice and a respectable labor/employment practice. The firm has a strong pro bono commitment; associates receive full billable hour credit for approved pro bono work and, overall, pro bono comprises 3-5% of all work. The billable hour target is 1850 and salaries are approximately 20% below market.
Attorney Development & Retention Assistant Duties: Works closely with the Director, Attorney Development & Retention, the Attorney Development & Retention Managers and the Attorney Development & Retention Specialist, collectively, to provide critical support for the associate development processes and training. Working in a fast-paced environment, assists with supporting day-to-day department operations, projects and processes related to attorney development. Assists with the attorney evaluation process; updates and maintains attorney evaluation console, including, but not limited to, setting due dates, assigning evaluations, and monitoring forms completion. Updates Attorney Development & Retention Manager of status on an on-going basis and notifies of any issues/concerns. Updates attorney facesheets with comments and leave of absence information. Assists with review of attorney evaluators to determine if appropriate evaluators have been selected, including for pro bono work. Communicates timely and effectively with appropriate parties regarding evaluators, as needed. Creates, updates and maintains compensation and bonus memos. Assists with scheduling of performance sit-down meetings. Creates and maintains income partner pipeline and historical report ensuring information is accurate. Creates and maintains all documents throughout the process and makes edits as necessary; including Practice Group and Professional Personnel Committee (PPC) questionnaires, partner and Office Managing Partner (OMP) comments, income partner candidate evaluations and financial metrics. Proof-reads all documents and prepares PDFs to be sent to the firm Management and Policy Committees (MCO and PCO). Works closely with Recruiting and Payroll to oversee the processing of bar stipend payments, including distribution and collection of appropriate tax forms. Facilitates ordering and sending of fall associate bar study gifts. Works closely with Attorney Development & Retention Program Specialist on fall associate conference planning. Assists with collecting and preparing program materials (handouts, FA directory, etc.). Works with travel department to coordinate travel to annual fall conference for incoming associates, faculty and outside consultants. Serves as main point of contact regarding dates, locations, logistics, etc. Coordinates conference rooms, catering, audio-visual and other needs with local office personnel for programs taking place in the firm s offices and with external venues (i.e. hotels, conference facilities). Coordinates with the firm s travel department to arrange attendee and presenter travel. Prepares and maintains program attendee spreadsheets including RSVP list and travel arrangement status. Creates nametags, tent cards, and course material binders for programs. Manages vendor invoices and payments for all Attorney Development & Retention Department expenditures. Collects exit interviews from, Regional HR for all attorneys and distributes them to the MCO and appropriate Practice Group Leaders. Creates electronic attorney personnel files and maintain Development related subfolders. Monitors bar admission information for all new and transferring attorneys. Prepares various reports on a regular and ad-hoc basis (i.e., litigation report, etc.). Prepares Department expense reimbursements. Prepares reconciliation of charges to firm credit card on a monthly basis. Performs other duties as assigned. Requirements: Bachelor's degree or equivalent work experience. 1+ years' work experience in a law firm and/or human resources of related field Demonstrates ability to maintain strict confidentiality. Dynamic self-starter with excellent attention to detail. Have flexibility in order to respond quickly and positively to shifting demands; ability to work under tight deadlines. Ability to work independently and as part of team, and to plan and take initiative to accomplish objectives in a timely manner with minimum supervision. Ability to interact effectively with all levels of firm personnel and outside vendors.
