Legal Secretary - Corporate/Transactional Duties: Maintain attorney active/closed case list. Organize and maintain corporate information for clients, both in notebooks and on the electronic drives. This includes obtaining documents, copying, scanning, and/or organizing the various documents. Review and send appropriate files to storage; maintain records of files/boxes sent to storage and of destruction. Research and review files for information. Convert PDF documents to Word for formatting and editing. Finalize documents; e.g., clean up, format, and make them look professional. Provide final document to the attorney for emailing, get signatures on documents, and send out by mail or overnight. Draft transmittal letters and memos. Assist in maintaining attorney calendars. Coordinate meetings, set up conference calls, receive visitors for meetings, set up and clean conference room afterward. Answer phones for attorneys when they are unavailable. Transcribe client s board meetings (billable), as needed. Make copies, print emails or documents, scan documents, and fax, as needed. Call ahead and confirm scheduled appointments on the attorney s calendar, if requested. Prepare check requests directed to Billing Manager; copy for file and mail out, as appropriate. Maintain attorney CLE records. As instructed, copy all relevant documents to client. Send client local counsel invoices and forward to local counsel. Synthesizes complex or diverse information Demonstrates attention to detail. Identifies and resolves problems in a timely manner. Edits work for spelling and grammar. Balances team and individual responsibilities. Is consistently at work and on time. Able to follow directions and responds to management direction. Takes responsibility for own actions. Requirements: Bachelor's degree from four-year college or university; or 1-2 years related experience; or equivalent combination of education and experience. Proficient computer skills and knowledge of Microsoft Office software, internet, and document management programs.
