Houston office seeks Human Resources/Attorney Recruiting and Professional Development Assistant with 0-1 year of related human resources experience, preferably in a law firm or other professional services firm. The candidate will work under the direct supervision of the Human Resources Manager and the Attorney Recruiting & Development Manager and following prescribed department, office and firm procedures, the Human Resources/Attorney Recruiting & Professional Development Assistant is responsible for providing general administrative support to the Human Resources and Attorney Recruiting departments. The Human Resources/Attorney Recruiting & Professional Development Assistant is expected to perform all responsibilities with a commitment to providing superior service to the firm's attorneys, advisors and staff, and maintaining an atmosphere of teamwork and continuous improvement. Above all, the Human Resources/Attorney Recruiting and Professional Development Assistant must fulfill the needs of the firm in a manner which is consistent with the Firm's Core Values. Serve as first point of contact for the departments, and troubleshoot, answer/screen phones as needed. Prepare all employment-related forms for staff and attorneys for HR Managers' signature. Enter all new hires, changes and departures into Lawson HRIS in a timely fashion following established HR and Payroll deadlines. Enter all benefits enrollment information into Lawson HRIS. Assist with parking and transit plan administration in WageWorks, in consultation with HR Manager. Prepare various letters/memos/forms as needed. Complete requests for employment verifications and Attorney Bar Examiners forms. Prepare and submit on-line user administration requests for email addresses/distribution lists (create, delete and modify). Serve as gatekeeper for Contractor's Database and Firm Directory (information not pulled from Lawson), entering required information for new hires and responding to directory inquiries from personnel. Review and distribute mail including unidentified mail. Maintain HR employee forms, orientation and benefits materials. File personnel paperwork in a timely manner. Maintain recruiting database. Enter resumes in recruiting database and generate letters from same. Enter and update candidate data in the recruiting database during the interview process. Assist with recruiting events. Collect and log in timesheets each pay period, verify overtime calculations, post into Time Entry Application, and follow up on missing timesheets each pay period. Sort and distribute paychecks, parking passes and parking access cards. Order flowers and send donations as approved for bereavements and births; process payments. Serve as back-up to Human Resources Specialist. Provide ad hoc switchboard relief. Assist with attorney development programs and events. Additional projects as needed. High School Diploma or equivalent required. 4-year college degree preferred. Ability to read, write and speak English. Strong proficiency in Microsoft Office including Excel, Outlook, Word and PowerPoint. Knowledge of HRIS systems. Excellent organizational skills, ability to prioritize work and work independently. Excellent written and verbal communication skills; ability to communicate effectively and tactfully with individuals at all levels within and outside of the firm.
