Legal Secretary Duties: Completing all word processing work including, memos, letters, charts, check requests, expense reports, new matter memos, briefs, pleadings, agreements and other such documents specific to the attorney s area of practice. Such work may be from hand-written copy or edited typed work product. Excellent attention to detail and high level computer skills are required. Close coordination and maintenance of the schedule and calendar of the timekeepers. Assisting with timekeeper billing including: making corrections as needed on the proformas, working with Billing Department personnel to provide detail of client-related expense items in order to provide supporting documentation on the bills, assisting attorneys with client inquiries, and other billing duties as assigned. Maintaining attorneys files containing statements and related billing data. Working with the Billing Department to resolve billing problems and efficiently processing final billing statements and letters. Proofreading of all work, including reading documents for content and context. Excellent writing skills required. Must be able to compose client-ready e-mail correspondence. Must have excellent recall regarding documents received and reviewed, or a system that will accomplish same. Submission of conflicts requests and preparation and submission of new business intake forms for new clients and/or new matters, including preparation of appropriate accompanying engagement letter. Proficiency in all Microsoft Office suite software applications to include PowerPoint and Excel. Preparing and maintaining up-to-date, orderly office files, file indexes for legal documents, binders, and digital temporary and permanent client and office files using Digital File. Answering and screening telephone calls. Heavy scheduling of meetings, conference rooms, conference calls, etc. Assistant must partner with the attorney to insure that all such efforts are successful. Scheduling outside vendor services such as court reporters or expert witnesses. Coordinating attorney s calendar with own and reminding of various meetings, appointments, engagements, conference calls, etc. Greeting clients and providing assistance when needed. Extensive work with Firm travel agents to make travel arrangements, including transportation, automobile rentals and hotel reservations. Preparing and submitting proper expense reports to the Accounting Department. Performing other related duties required based upon the unique practice of the assigned attorneys. Requirements: College Degree preferred. 3+ years' Executive Assistant level experience in a legal or other professional services environment. Strong computer skills including advanced knowledge of Microsoft Word, Excel, Power Point and Access. Administrative skills including typing, proofreading, spelling, grammar, and mathematical aptitude. Excellent oral and written communication skills. Ability to take initiative in handling projects and anticipating what needs to be done. Must be able to assist individuals of various levels. Must be able to use good judgment, appropriately handle challenging situations, prioritize workload, juggle multiple tasks, and effectively solve problems. Ability to establish rapport with clients by striking a balance between friendliness and professionalism. Strong desire to serve the clients and to establish trust. Maintaining accurate information in attorney s Contacts and in other databases such as Meridio.
