Legal Secretary - IP Trademark Litigation Duties: Draft and/or proofread various documents and forms, including correspondence, pleadings, discovery and billing invoices; check documents for formatting, spelling and grammar. Conform pleadings and discovery to comply with local state and federal rules. Edit, file and distribute final documents. e-Filing or manual filing with State, Federal and Appellate Courts, including USPTO/TTAB;. Generation of Table of Contents and Table of Authorities; assist with trial preparation. Have the ability to run conflicts independently, prepare engagement letters, submit new clients and new matters to Conflicts and New Business Intake. Set up and maintain firm active files and manage disposition of closed files. File and locate correspondence, pleadings and other documentation in an accurate and timely manner. Manage and coordinate calendar, schedules and travel arrangement for attorneys;. draft and complete expense reports for partners and/or counsel. Schedule and coordinate conference calls, meetings, depositions, and hearings for attorneys and clients. Notify attorneys of client accrual deadlines, including monthly and quarterly budget deadlines. Data entry of time for attorneys in Intapp (timekeeper system). Qualifications: 5+ years of litigation experience as a legal secretary (preferably with a mid to large law firm). Strong knowledge and background in Litigation. Strong editing and proofreading abilities. Must have knowledge of state, federal, and appellate court rules, general court procedures and practices, experience with filing/e-filing, and familiar with USPTO/TTAB procedures, rules and requirements. Ability to interface with partners, associates, clients, vendors, directors, managers and staff, and establish working relationships throughout operational groups. Strong written and oral communication skills. Ability to manage time and multitask effectively. Ability to accurately type 60 wpm. Familiar with litigation docketing/calendaring systems, preferably Compulaw. Highly proficient with Microsoft Office Suite and Adobe. Must have knowledge of the primary phases of litigation and the documents that not only form a case s inception but those essential in the stages of discovery, law and motion, trial or mediation and/or settlement, and the local rules that govern them for compliance, formatively and substantially. Knowledge of filing TROs and preliminary injunctions a plus; knowledge of Pacer, iManage, Intapp a plus. Familiarity with electronic records governance management a plus. Familiarity with Compulaw and FIP or similar programs a plus.
