Legal Secretary Duties: Compose and prepare standard correspondence; type lengthy legal documents. Screen telephone calls and record messages. Read, sort and date incoming mail; process outgoing mail daily. Route mail to specific delivery services as needed and confirm timely delivery. Establish and update calendar and deadline reminder systems. Maintain current client files (both electronic files and paper files). Open new files; prepare conflict-of-interest memoranda. Maintain all attorney and general files and form files. Conduct periodic review for possible storage of older files; prepare files to be closed. Receive clients and visitors; maintain good public relations with clients; observe confidentiality of attorney-client relationships. Schedule appointments and make travel arrangements for attorneys as needed. Proofread and enter timekeeper time entries in Juris Suite and approve for billing in a timely manner. Work closely with administrative support staff. Confirm whereabouts at all times with receptionist. Back up receptionist as needed. Qualifications: On-the-job experience necessary in order to gain an understanding of law office policies and procedures and produce accurate legal documents with minimal supervision. Ability to proof and perform minor editing (e.g. punctuation, grammar, spelling) of routine and law office correspondence and legal case matter documents. Excellent skills in organizing and maintaining records and filing systems. Ability to transcribe legal documents, correspondence and reports from rough draft. Ability to organize and prioritize numerous tasks and complete them under time constraints. Excellent computer skills; proficient in Microsoft Word, Word Perfect, Outlook, Excel, Adobe.
