Legal Secretary The candidate will report to the Supervising Attorney. Provide mid-to-high level administrative support to designated attorneys, paralegals, and to the Firm. Promote and maintain the goodwill and reputation of the Firm and maintain the highest level of professional conduct and confidentiality. Provide specific secretarial support for several attorneys in various legal specialties. Gather relevant information and documents, under direction, or compiles data from a variety of sources. Perform a wide variety of typing assignments that may be confidential in nature and require research to complete; operates personal computer to compose, edit, revise, tabulate, and print letters, tables, reports, and other materials. Prepare documents and correspondence requiring knowledge of legal terminology and document formats, such as contracts, briefs, policies, and pleadings. Establish, maintains, process, and/or oversee files, correspondence, databases, records, certificates, and/or other documents. Provide follow-up with appropriate departments, under direction, to ensure compliance with agreements, requests for information from attorneys, and other related issues. Interact with other secretaries to assist with heavy workload or coverage. Support other attorneys as a backup when other secretaries are out of the office. Schedule appointments and perform other duties related to maintaining schedules (may schedule and coordinate meetings and conferences, including travel and lodging arrangements and facilities). Lead, guide, and train staff performing related work as appropriate. Perform miscellaneous job-related duties as assigned. The candidate must have 3-5 years of experience that is directly related to the duties and responsibilities specified above. Knowledge of legal terminology and procedures. Should have the ability to maintain the confidentiality of records and information and the ability to communicate effectively, both oral and written. Familiarity with standard office procedures in a law firm environment is preferred. Should have a strong command of the English language, including excellent spelling, grammar, punctuation, form and style, and the ability to create, compose, proof, and edit correspondence. Should have proficiency in MS Office Applications (Outlook, Word, Excel, and PowerPoint). Should have database and records management skills and the ability to analyze and solve problems. Possess and demonstrate a high level of attention to detail. Possess strong organizational, prioritization, and delegation skills. Should have strong interpersonal skills. Must have impeccable attendance and punctuality and a strong work ethic. Should have the ability to work in a fast-paced, high-pressured environment.
