Receptionist / Legal Secretary - Law Firm Responsibilities: Manage multiple incoming lines, screen calls, and direct callers to the appropriate person. Ensure that voice mails are checked daily and routed accordingly. Handle all incoming faxes and e-mails and forward them to the appropriate parties in a timely manner. Sort and scan documents at the request of the managing paralegal. Update various spreadsheets as required ensuring accuracy. Greet all visitors and seat them as needed. Sign for all incoming packages such as UPS, FedEx, mail. Prepare labels for outgoing shipments. Office supply inventory. Assist with any issues in the office, working with vendors or other parties. Data entry and filing. Overflow work from other departments; and Other tasks as assigned. Will be able to multitask and work in a faced paced environment. Will report to the office manager to directly support reception and clerical tasks.
Qualifications: Must have the ability to manage multiple tasks and have exceptional planning and coordinating skills; ability to set priorities and perform well in this fast-paced environment, build rapport with clients; superior verbal and written communication skills, computer skills with an ability to learn law firm practice management systems. Must be detail-oriented, adaptable, organized, and work as part of a team; personable, professional with a pleasant demeanor and good attitude; punctual (work schedule will be 8:00 a.m. to 5:00 p.m.); and a self-starter, flexible, curious, and willing to handle new tasks and learn new aspects of the job; bilingual in English and Spanish is mandatory (your interview will be conducted in both languages).
