Attorney Recruiting, Training & Development Assistant Duties: Preparing paperwork for interviews. Assist with OCI registrations. Entering candidate information into Firm s database. Updating database with candidate status following interviews. Processing candidate expense s and reimbursements to other firms. Maintain interview calendar callback interviews. Assist with scheduling candidate callback interviews. Summer Associate face-book. Preparation and mailing of letters and questionnaires. Summer Associate mailings. Process HR related forms including Billing Forms and Payroll orders. Assignment process and evaluation facilitation. Assist with event planning and coordination. Track event attendance/RSVP. Maintain event calendar. Send rejection letters to candidates. Maintain Fellowship materials and records. Answer phones. Assist in the coordination of in-house training programs. Confirm necessary space has been booked and technical needs and meal requirements are confirmed. Prepare attendance sheet for every training program through CE+. Prepare all handout materials for distribution. Maintain files. Process invoices and expenses through Chrome River. Provide support for Firm events including but not limited to, KICP, Women s Leadership Initiative and diversity sponsored activities. Work on multiple projects in a fast paced environment. Interact with staff and attorneys on all levels. Proofreading skills and strong attention to detail. Exercise confidentiality. Prepare attorneys for hire. Prepare and finalize New Attorney Orientation schedules and First Day Memo. Send out New Attorney Welcome email . Prepare and distribute department materials. Assist in meeting support. Accurate and timely entry of departmental data into various databases. Maintain files. Prepare check requests. Maintain departmental calendars. Provide event support. General administrative duties including filing, copying, and document preparation. Qualifications: A Bachelor's degree or equivalent experience and 1+ year of experience in recruiting is required. Experience working for a law firm is preferred. Be highly organized, possess excellent proofing and communication (oral and written) skills. Ability to multitask in a fast-paced environment. Very strong attention to detail. Professional demeanor and strong interpersonal skills. Ability to build relationships among lawyers and staff to achieve results; position requires a high level of collaboration with attorneys and staff and the ability to exercise independent judgment. Proficiency in Word, Excel, PowerPoint and using the Internet is required. Working knowledge of relational databases preferred. Typing speed of 50+ wpm is required. Excellent communication and organizational skills. Ability to be a team-player. Ability to prioritize work. Ability to work overtime.
