Senior Legal Secretary The candidate will prepare and submission of new client and/or new matter forms and sub-files. Organize, create and update client binders; prepare and maintain client and office files both in electronic and paper filing systems. Communicate with clients (via phone or email); Gathering missing or outstanding documents from clients, and creating and updating checklists of documents required. Prepare engagement letters, invoices, and other case administration documents as needed, at the direction of either Attorney or paralegal. Process attorney weekly time summaries, expense reports, check requests, and travel arrangements which include transportation, automobile rentals, and hotel reservations. Coordinate, schedule, and docket/calendar meetings, conference calls, and client tasks. Calendar critical deadlines in order to maintain and manage the deadlines. Work with client electronic billing systems and monitor billing processes. Create, compile, and run updated status charts, monitoring software and updating accordingly. Proofread all work for both accurate content and context. Efficient workflow including the duplication, printing, mailing, and merging of documents. Open and sort incoming communications via standard or electronic delivery and distribute them appropriately. Type, transcribe, and revise all communications, legal documents, charts, and tables. Assignments may change from time to time and flexibility is essential. Must have 4-6 years of related experience. Experience in Private Client, Trusts and Estates Planning is required. Outstanding written and verbal communications; ability to professionally interact with clients, attorneys, and staff is essential. Must be very detail-oriented and be able to multi-task. Have strong document processing and project management skills. Be proficient in advanced levels of Microsoft Outlook, Excel, and Word and the use and application of Styles, Redlining, Adobe Pro, and PDF Docs4. Must be able to operate the Firm's software applications on an advanced level within a reasonable period of time, and possess excellent reading comprehension and proofreading skills. Have experience in working collaboratively and applying an individual commitment to a group or team environment in the spirit of cooperation to successfully complete tasks efficiently and quickly. Have experience with document management program - iManage DeskSite is desired.
