Paralegal/Legal Secretary Duties: Prepare correspondence, contracts, other documents and/or memoranda in draft and in final form from handwritten material, typed copy and transcription files; Effective communication with all clients in a timely manner; Assist in updating/revising wills, trusts, and living will documents; Assist with court filings, notices, pleadings and/or other documents for attorneys as requested; Set up, maintain, and ensure that files are kept current including classifying, arranging files, filing, and storing information. Requests files from Records Department; Provide administrative support in order to ensure a smooth daily workflow in order to meet project deadlines. Word processing, photocopying and scanning, processing of mail and performance of other clerical duties, scheduling of meetings, tracking of counsel CLE, handling arrangements for attorney attendance at conferences, CLE seminars, and other events; create, edit, and proofread complex and practice-specific legal documents, forms, and correspondence to ensure accuracy and completeness; Transcribe legal documents, correspondence, and memos for attorneys; Upon request, enter attorney time in accordance with the Firm s procedures and practices; coordinate with the Firm s billing department to facilitate attorneys timely review and return of monthly billing statements and invoicing of clients. Qualifications: High School Diploma required. Associate s and/or Bachelor's Degree preferred. 5+ years experience in a legal department preferred. Notary Public (preferred). Excellent organizational skills and the ability to prioritize and manage multiple deadlines in a fast-paced environment. Exceptional writing and analytical abilities. Effective communication skills. Mastery of the English language and skills to allow for advanced writing and editing of legal documents. Meticulous attention to detail. Advanced knowledge of MS Word, Word Perfect, and Outlook. Knowledge of Amicus Attorney, MS Excel, and MS Power Point is helpful.
