Legal Secretary Duties: Interaction with Clients, Guests and Others. Welcoming guests and clients by greeting them in person or on the telephone. Accurately taking notes/messages, and answering or redirecting inquiries when appropriate. Providing information with diplomacy and discretion to callers and visitors. Effectively communicating with witnesses, representatives, and visitors. File Upkeep and Maintenance. Establishing and maintaining case files, logs, indices, and other information. Preserving up-to-date record systems incorporating incoming and outgoing documents. Producing, scanning, copying, faxing, and the organizing of documents. Document Preparation. Possessing a typing speed of 50 wpm or more. Ability to transcribe documents from written, oral, or computer-generated formats Coordinating the preparation of charts, graphs, and other courtroom visual aids Preparing and processing expense vouchers, third-party invoices, account statements, etc. Conducting research, reading legal articles, and locating case law citations upon request. Teamwork and Workflows. Outstanding time-management skills, and the ability to multitask and meet deadlines. Reading, researching, reviewing, verifying, and routing correspondence and legal documents. Creatively conserving attorneys time, and coordinating activities and arrangements. Maintaining composure during stressful situations as a result of workloads and/or deadlines. Respect and courtesy to all other employees, and a team player with both staff and attorneys. Calendaring and Scheduling. Scheduling, arranging, setting up and straightening up for conferences, mediation, hearings, depositions, and trials. Arranging for couriers, court reporters, witnesses, representatives, and third parties. Recording and monitoring court dates, filing requirements, and case-specific deadlines. Candidate should have experience working with pleadings, discovery, motions, briefs, and appeals, should have 2+ years experience working in a law firm, and possess a thorough understanding of legal terminology. Experience assisting litigation lawyers with clerical and administrative support, answering phone calls and emails, typing, filing and electronic filing, maintaining inventory of office supplies, scheduling meetings and appointments, editing and proofreading documents, making travel arrangements, keeping files and contact information up to date, managing deadlines, and processing incoming and outgoing mail. Communication Skills. Excellent written and oral communication skills. Courteous and professional demeanor. Comfortable, professional phone manner. Positive attitude and a willingness to learn. . Ability to independently assess and determine work priorities. Interpreting complex instructions, rules and regulations, policies and procedures. Maintaining attorney-client privilege and the confidentiality of protected health information. Awareness of Firm policies and procedures.
