Legal Secretary Duties: Assisting lawyers and paralegals through the performance of complex secretarial and clerical duties requiring knowledge of legal terminology and the legal process. Schedules appointments for attorneys; arranges for conference room and/or refreshments; Maintains calendar for attorney; Provides document production for attorneys to include typing of all letters, documents, pleadings, contracts, forms, other projects, etc.; Proofreads all documents produced, making sure they are formatted properly, checking spelling and grammar, making sure all attachments, exhibit or enclosures are intact; Prepares documents for mailing making sufficient copies for files and carbon copies, preparing envelopes, mailing labels, certified mail documentation, Federal Express or Express Mail, hand delivery, etc. and making sure all enclosures and attachments are included; Files all correspondence and documents in appropriate client files, maintains files; Prepares new client/matter opening forms, engagement letters, and has accounting run conflict checks; Types all timesheets for attorneys on a timely basis; Acts as a liaison between accounting and attorney and paralegals to get bills sent out in a timely fashion and keeps files of bills for each attorney; Answers the telephone for attorneys and takes and transmits messages or directs calls to voicemail; Opens and sorts mail for attorneys, making sure all enclosures are attached or included; Prepares forms to request checks from accounting; Closes files and prepares documentation to send closed files to storage; maintains closed file indices; retrieves files from closed files as requested by attorneys; Compile and maintain client number list. Qualifications: Must multi-task at the highest level and maintain long periods of focus and concentration. Type at 70+ wpm. Intermediate knowledge of Word 2010/Excel/PowerPoint/Outlook/SharePoint.
