Litigation Paralegal The candidate will handle incoming and outgoing calls. Will handle incoming and outgoing mail. Open personal injury files that include sending first client letter, ordering medical records, and setting up the physical file. Check request for medical records and mail all checks requested. Follow-up on medical records requests. Obtain and maintain necessary information for each file that includes calls to client for death certificates, autopsy reports, etc. and follow-up to make sure that the documents are provided. Prepare and send medical records/x-ray films to Experts. Prepare affidavits to send to experts. Interview expert witnesses. Respond to Pre-suit Discovery, once a NOI is done. Answer Interrogatories. Schedule Hearings and prepare necessary documents for the Hearing. (e.g Motion to Compel hearings). Handle trial preparation that include reservations to and from trial, etc. Turndown Memos (Due monthly). Trial updates for the department (Due monthly). All scheduling assignments that include telephone conferences with Experts, clients, pre-deposition conferences, and depositions. (Contact Court Reporter and set-up telephonic conferences for all depositions). Generate Investigative Turndowns per Attorney's request. Create To-Do tasks. Update Outlook calendar and Red Diary. Must have 5-7 years of litigation experience, and strong knowledge of federal and state statutes, court rules, forms, processes and procedures. Should have experience answering discovery, trial and mediation preparation, and have the ability to summarize depositions and medical records. Litigation Legal Secretary The candidate will deliver quality legal services to both external and internal clients, provide secretarial and administrative assistance to assigned attorneys, and provide back-up support to others, perform specialized legal tasks and handle office administrative tasks. Will be responsible for accurately e-filling court documents (including in proper format); prepare notebooks, exhibit list with attachments; update indices; draft standard documents (pleadings, correspondence, memoranda); proactively follow up on deadlines; coordinate meetings (depositions, mediations, etc.); and assist attorneys with CLE compliance and other administrative responsibilities. Accurately prepare and submit client intake forms; follow standard document naming and profiling conventions. Understand the importance of, and accurately manage, audit requests. Handle reception coverage and mail responsibilities (USPS, courier or overnight delivery); handle various office administrative matters, such as ordering and maintaining office, kitchen and related supplies, maintain log of checks received, assist with office administrative requirements. Must have knowledge of legal terminology, documents and litigation processes, including marking and generating tables of contents and authorities. Must have excellent communication skills, both written and verbal; demonstrated understanding of correct grammar, spelling and punctuation. Should be a strongly skilled litigation secretary who is detail-oriented, self-motivated, solutions oriented, organized and works well in a collaborative team environment. Must have strong clerical skills including word processing, be experienced in Microsoft products (Outlook, Word, Excel, and basic PowerPoint) and document management systems; handle mail and contact management; accurately calendar entries and address deadlines proactively.
