Litigation Legal Secretary The candidate handles complex and specialized secretarial and clerical support activities related to the specific work and function of the timekeeper(s) to whom they are assigned, in a timely and accurate manner. Provides secretarial support to assignments including, but not limited to, transcribing dictation tapes, typing correspondence, reports, memoranda and/or other documents and submitting same for review; revising, proofreading, assembling and distributing prepared material as necessary in an accurate and timely manner. Reviews and routes incoming correspondence. Creates and maintains well-organized and timely client files (hard copies and electronic); resource materials and administrative files (e.g. CLE) and indexes. Performs electronic filing of court documents (e.g., County, State, Federal and/or Appellate Courts.). Screens and routes telephone calls, and receives and directs clients. Schedules and confirms appointments in a proactive manner. Ensures guests are registered visitors with the building. Schedules conference rooms and guest offices using the Firm scheduling software. Input attorney's daily billable time in accordance with the Firm's policy on Timekeeping & Billing. Prepares expense reports for review and submission. Monitors case deadlines and maintain case calendar utilizing Firm docketing system. Communicates and interacts appropriately with internal and external clients to deliver a high level of customer service, consistent with the Firm's "First in Service" philosophy. Reviews pro formas for billings received from the Accounting Department to clients for services rendered and complete complex clerical procedures in connection therewith. Coordinates domestic and international travel arrangements and tracks travel expenses for timely reimbursement. Proactively participates as a member of the practice group support coverage team. Mandatory successful completion of the Legal Technology Core Competencies Certification Coalition (LTC4) Program. Perform additional office support duties as assigned/requested. May require overtime or weekend hours. Must have a High School Diploma. In addition, 1-3 years of legal secretarial experience is required. Must be able to handle many priorities at one time, work well with others and have excellent communication skills. Flexibility to work overtime as needed. Comprehensive knowledge in Microsoft Office (Excel, Outlook, PowerPoint, Word) and PDF software. Must possess an excellent customer service attitude. Locate and review information applicable to a particular case, person, or subject through online research or document reviews. Act as the lead paralegal by managing cases and guiding teammates. Develop checklists, tracking systems, and other processes to improve efficiency for the practice. The candidate should have a Bachelor's degree or Paralegal certificate. Must have 10 years of experience as a litigation paralegal. Should preferably have 10 years of experience as a litigation paralegal in a law firm. Trial experience and mass tort experience are strongly preferred. Experience with litigation technology including eDiscovery is desired. Experience with Westlaw and Lexis/Nexis is an asset. Experience using Pacer and Courtlink is a plus. Strong organizational and multi-tasking skills are needed. Strong analytical skills with a demonstrated ability to anticipate needs and exercise judgement for resolution are needed. Should have strong writing skills and the ability to draft complex legal documents. Strong verbal, written, and interpersonal skills are required to interact with staff, paralegals, attorneys, and clients daily. Strong technological capabilities to set-up and maintain matters are a must. Thorough understanding of the litigation life cycle is essential. Should have thorough understanding of federal and local filing procedures (electronic and hard copy). Advanced knowledge of Relativity database is required. The ability to maintain large volumes of documents and data utilizing databases and spreadsheets is needed. The ability to locate and research information applicable to a particular matter, person, regulation, and/or transaction through online research, document review, and due diligence is a must. Should have the ability to identify interrelationships among cases, statutes, regulations, and other legal authorities. Must be a team leader with strong interpersonal skills required to interact with staff, paralegals, attorneys, and clients. Proven ability to work on cross-functional teams in multiple jurisdictions, across time zones is essential. Strong analytical skills are required to manage budgets and resources.
