This is one of the largest firms in the State of California. We met a hiring authority of this firm for lunch recently, and because this individual did not know us, we were seated at the table next to them. We did not talk to them for over an hour of waiting time, until we discovered that the hostess had forgotten to seat us together, and had seated us a table apart. Needless to say, we both got a good laugh out of that. This firm is very strong in most of its practice areas, including litigation, labor and banking work. Some of the more distinguished litigators in the State of California call this firm their home. The management of this firm is also awfully good and has managed to stay small despite the proliferation of massive management committees at other large law firms. Associates at this firm also seem to fraternize together quite well. One recently held a "keg party" at his home for other associates and there was a large and enthusiastic turnout. This is a real quality of life law firm, and the people here seem to enjoy their lives both at and outside of work. Not surprisingly, a firm of this caliber is able to attract top attorneys of all backgrounds and has managed to remain fairly selective in its hiring. We also like the diversity of this firm and its people. Finally, we think the associates working here tend to be quite "chatty," and the partners even seem this way too. We like chatting because we talk on the phone for a living so this firm gets thumbs up from us. This is the ideal spot for bright, ambitious attorneys with solid work experience and outstanding academic achievements.
IP Legal Secretary The candidate will primarily support IP attorneys in all aspects of patent prosecution. Assist with daily workflow regarding procedures, deadlines, filings and related documentation from the U.S. Patent and Trademark Office. Responsible for reporting documentation to clients. Proactively manage patent prosecution dockets, ensuring all deadlines are met in a timely manner. Communicate calendar and docket updates to the docketing teams. Work closely with attorneys, technical specialists and patent agents to prepare and file US, PCT, and foreign patent applications and official correspondence using the Firm s standards and procedures. Official correspondence includes, but is not limited to, application data sheets, declarations, powers of attorney, assignments, IDSs, responses to office actions, amendments, issue fee payments and extensions. Prepare client reporting letters, foreign attorney instruction letters, and CPI status and docket reports for attorney review. Communicate directly with clients, foreign attorneys, and USPTO under the direction of a patent attorney or agent. Double check work product before presenting to attorney for review and again before sending or filing. Ensure that client-matter numbers are opened according to the Firm s guidelines. Timely review and forward annuity and maintenance fee information to the annuity team, and send foreign attorney invoices to the accounting department. Administrative tasks include, but are not limited to, maintaining client files, entering time, and promptly submitting expense reports and vendor invoices. Drafts routine correspondence, memoranda and other documents. Files legal documents in federal courts and state courts; prepares legal documents for service of process; prepares case shell documents for use by attorneys. Proofreads documents and checks for appropriate formatting, spelling and grammar. Verifies all attachments, exhibits and enclosures are included with transmittal letters/memos. Maintains good public relations with clients. Receives, reviews and prints electronic faxes. Delivers paper faxes as necessary. Sorts, dates and reads incoming mail. Prepares documents and packages for mail, messenger and overnight delivery.Completes client/matter forms. Requests conflicts of interest checks. Opens new files. Maintains all client and general files. Conducts periodic review for possible storage of old files and prepares files to be closed. Prepares expense reports. Coordinates and follows through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Although the partners are increasingly conscious of the billable hours of their associates, they are generally accessible. In particular, several of the litigation partners bring in high level litigation work and remain very involved throughout to monitor and guide the associates participation.
Legal Secretary Responsibilities: May support attorneys, paralegals, science advisors, or management personnel. Provides high quality and efficient legal secretarial and administrative services by maintaining strong internal and external client relationships. Teamwork, strong communication and technical skills, the ability to prioritize and establish work objectives and the ability to work under deadlines. Coordinates travel arrangements by securing air, train, hotel and car reservations for attorneys and clients. Prepares travel expense reimbursement reports in a timely manner and tracks payments. Maintains electronic calendar via Microsoft Outlook for meetings and appointments, apprises attorneys of responsibilities in advance of commitment. Plans and coordinates internal committee meetings, firm-wide practice group meetings, associate training conferences and client meetings. Utilizes EMS to reserve conference rooms and visitor s offices. Coordinates with Reception, Catering, and Office Services to ensure meetings are properly executed. Receives screens and transmits telephone calls to attorneys and takes messages as necessary, with recognition of and attention to the particular needs of the clients. May act as liaison to Finance Department for collection of past due receivables. Processes new business forms, new client/matter reports and conflict of interest checks. Coordinates work performed by Office Services for prompt production and delivery of documents. May process client audit response letters. May participate in preparation of RFPs for prospective clients. Processes incoming and outgoing mail and distributes promptly upon receipt. Types and prepares legal papers and correspondence such as briefs, letters, memoranda, tables, charts/spreadsheets, complaints, and motions. Proofreads and revises all documents, including engagement letters, PowerPoint presentations, memoranda, audit letters, client deliverables and other correspondence, etc. for accuracy of copy, paying close attention to grammar, punctuation and syntax, and drafts correspondence. May be asked to generate Table of Contents, prepare closing binders, Table of Authorities and redline documents, depending on practice area. Formats filings and other legal documents to comply with court requirements. Prepares documents for transmittal via the Firm s electronic fax system, e-mail, or PDF transfer. Works with Office Services or the Document Center for prompt production and delivery of documents. Offers assistance to other secretaries when work load demands it.
