Legal Secretary Duties: Assist attorneys in the office under the direction of the Office Coordinator, reporting to the Director of Administration. Organize data, documents, schedules, and other details to assist the attorneys in providing excellent service to clients. Produce information by transcribing, inputting, formatting, editing, retrieving, copying, and transmitting text, data, and graphics; coordinating case preparation. Conserve attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports, and legal documents; drafting letters and documents; collecting and analyzing information; coordinating preparation of charts, graphs, and other courtroom visuals; preparing expense reports. Calendar litigation and other deadlines. Maintain attorney calendar, including scheduling attorney conferences within the office; schedule travel arrangements; monitor and remind attorneys re: deadlines, community events, CLEs, etc. Create and manage spreadsheets tracking client documents and contact information. Maintain data regarding professional contacts, attorney time entry, mailing lists, etc. using PCLaw and Time Matters. Be adept at searching Outlook, generating mass mailings, and generating reports from those programs. Organize and maintain case files, including scanning and saving documents into and retrieving documents from FileSite (iManage). Conduct basic legal and internet research on various subjects, companies, and people using CourtLink, PACER, Bloomberg, and Westlaw Ensure that attorney memberships in bar associations are current. Complete intake forms for prospective clients. Welcome guests and clients by greeting them in person or on the telephone; answering or directing inquiries. Communicate with court personnel, including judges and clerks, in addition to co-counsel, opposing counsel, and other attorneys and professionals. Schedule couriers, court reporters, expert witnesses, and others. Maintain client confidence by keeping attorney-client information privileged. Qualifications: Excellent organizational skills, good written and oral communication skills, and strong interpersonal skills. Must be able to work independently, while understanding the critical importance of team work. must be proficient in MS Office, and familiarity with legal systems (filing and retrieving legal pleadings online, for example) in particular is a plus. Interacts on a daily basis with departments within the Firm to facilitate highest possible legal support to assignments and clients, including Accounting (check requests); General Services (mail, FedEx, UPS, messengers); Conference Center/Catering (scheduling/arranging meetings and requested accommodations); Calendar Court Services; Reprographics Department; Digital Services, etc. Uses word processing and document management software (Microsoft Office 2010, including PowerPoint & Excel, Workshare Compare, Adobe, DMS, etc.) to prepare and revise, format and finalize a wide variety of documents, including correspondence, memoranda, and legal materials. In conjunction with the preparation of such documents, the Practice Assistant is responsible for proofreading, correctly formatting and questioning any inconsistencies in all materials. Transcribes dictation, minutes of meetings or taped records of conferences and meetings. Establishes and maintains paper and electronic files in compliance with current firm policies utilizing the Firm s LegalKEY system and Document Management System. Provides assistance to other Practice Assistants within assigned teams whenever necessary to meet Firm and client needs; organizes and prioritizes workload so as to most efficiently enable and facilitate team effort to accomplish Firm and client goals. Fosters professional, cooperative and supportive relationships with peers, superiors and clients. Anticipates and identifies clients /colleagues current and future needs. Shares information and offers ideas and solutions in a team environment. Exhibits professionalism by recognizing and adhering to all Firm policies, including attendance guidelines, dress code, security measures, and confidentiality requirements. Maintains positive, professional, courteous and flexible demeanor when dealing with clients and colleagues. Performs complex practice assistant activities which may be highly confidential and sensitive, and require discretion and diplomacy. Reports directly to the Practice Assistant Manager. On a day-to-day basis, works primarily under the direction of an assigned group of Attorneys and/or Paralegals. In addition, works in a team situation with Practice Assistants to most effectively and efficiently meet Firm/client needs. Qualifications: High School Diploma required. Bachelor's degree preferred. Must have 2+ years of executive secretarial or legal secretarial experience in the corporate area. Advanced proficiency in MS Word and formatting documents with a minimum typing speed of 55+ words per minute required. Adobe, PowerPoint and Excel experience are a plus. Legal Secretary (Litigation/Labor & Employment) Duties: Inputs, revises and finalizes correspondence, memoranda and other legal documents. Drafts routine correspondence, memoranda and other documents. Files legal documents in federal courts and state courts; prepares legal documents for service of process; prepares case shell documents for use by attorneys. Proofreads documents and checks for appropriate formatting, spelling and grammar. Verifies all attachments, exhibits and enclosures are included with transmittal letters/memos. Maintains good public relations with clients. Receives, reviews and prints electronic faxes. Delivers paper faxes as necessary. Sorts, dates and reads incoming mail. Prepares documents and packages for mail, messenger and overnight delivery. Completes client/matter forms. Requests conflicts of interest checks. Opens new files. Maintains all client and general files. Conducts periodic review for possible storage of old files and prepares files to be closed. Prepares expense reports.
