Intellectual Property Legal Secretary Duties: Under general supervision, serves as secretary to a number of patent attorneys. Prepares documents and correspondence requiring knowledge of patent prosecution and preparation of corresponding documents such as documents associated with the filing of patent applications, Information Disclosure Statements, Response to Missing Parts, Amendments and other misc. U.S. Patent and Trademark Office responses. Performs a wide variety of other routine secretarial and administrative tasks. Provides confidential administrative support to legal staff. Performs a wide variety of typing assignments which may be confidential in nature and require research to complete; operates personal computer to compose, edit, revise, tabulate, and print letters, tables, reports, and other materials. Prepares documents and correspondence requiring knowledge of legal terminology and document formats associated with U.S. patent prosecution. Establishes, maintains, processes, and/or oversees files, correspondence, databases, records, certificates, and/or other documents. Schedules appointments and performs other duties related to maintaining supervisor s schedule; may schedule and coordinate meetings and conferences, including travel and lodging arrangements, facilities, and vendor and conference participant payments. Gathers relevant information and documents. Arranges teleconferences with local, regional, and national clients, as required. Opens and routes office mail. Requirements: High school diploma or GED; 3+ years of experience that is directly related to the duties and responsibilities specified, including the patent prosecution duties and responsibilities. Knowledge of terminology and procedures. Strong proficiency in Microsoft Office Suite, especially in MS Word and Power Point. Ability to communicate effectively, both orally and in writing. Database and records management skills (CPI a plus.) Ability to analyze and solve problems. Ability to maintain confidentiality of records and information. Skill in the use of personal computers and related software applications. Ability to create, compose, and edit written materials. Ability to gather data, compile information, and prepare reports. Must have ability to handle pressure, interruptions, and multiple projects with frequently changing priorities in an efficient manner, rapid turnaround required, and generally perform in a fast-paced environment. Must be proficient in all software; ability to adjust to multiple tasks from multiple individuals in the Firm. Must have 5 years recent law firm litigation paralegal experience, with State court and Federal litigation experience. Four-year Bachelor's degree and/or two-year ABA approved Paralegal certificate ideal. Must have proficiency in Microsoft Office suite to include PowerPoint, Excel and Adobe Pro. Ability to consistently meet deadlines while managing multiple projects with competing priorities is required. Positive attitude and exceptional verbal, written, and interpersonal communication skills required for daily interaction with clients, opposing counsel and mediators. Ability to exercise discretion, good judgment, and poise in handling sensitive and confidential information and ability to define problems, collect data, establish facts and draw valid conclusions is required.
