Legal Support Team Specialist - Legal Secretary The candidate will be responsible for providing administrative support to attorneys and other timekeepers primarily in the area of litigation; successfully managing multiple projects and priorities. Works with a team of specialists, sharing responsibility for support to assigned timekeepers and successfully managing multiple projects and priorities. Communicates effectively, courteously, and professionally with clients, visitors, staff, and timekeepers. Essential job functions include: Types, transcribes, revises and proofreads legal documents, prioritizes assignments, and meets specific deadlines on projects. Prepares documents for e-filing as required. Assists in coordinating timekeeper calendars, and meeting arrangements. Makes travel arrangements and prepares itineraries. Prepares expense reports and reimbursement requests. Coordinates client billing matters, prepares billing letters and other requested client financial updates; assists attorneys with tracking and monitoring alternative fee arrangements; assists attorneys with automation, tracking and monitoring of matter budgets. Enters billable time. Prepares and processes new matter forms, requests conflict checks, and opens new files. Reviews and routes incoming mail and fax communications. Prepares and processes outgoing mail and faxes, arranging for specialized mail or messenger services as required. Ensures that all attachments, exhibits, and enclosures are included. Coordinates activities with the Office Services department as needed. Maintains paper and electronic files in compliance with current policies. Works with Records Department to create and maintain client files and indexes. Marks case or matter related documents with filing instructions to ensure proper filing. Performs routine filing and retrieves files as needed. Maintains attorney contacts, tracks requirements and activity related to CLE and memberships. Works collaboratively in a team: Demonstrates effective teamwork and communication with team members and all Firm personnel. Actively participates in regular team meetings to discuss current projects and workflow. Takes personal responsibility for regularly exchanging information and training tips with team members for maximum job effectiveness. Updates project log with pending and completed tasks. Operates office equipment including PCs, printers, phones, copiers, facsimiles and typewriters. Copes successfully with demands from timekeepers, remaining calm under pressure. Conducts all business in a confidential manner. Other duties as assigned. The candidate must have High School Diploma or GED; Bachelor's degree preferred. 3-5 years relevant legal assistance experience preferred. Litigation experience required. Should have strong technical skills. Must have minimum typing speed of 60 wpm. Should have proficiency in Microsoft Office Suite including Outlook, Word, PowerPoint and Excel. Must have previous transcription experience. Should have ability to deliver superior service to all internal and external customers and communicate effectively. Must have ability to interact in a professional and courteous manner with clients and employees at all times; professional appearance required. Ensures exact compliance with client guidelines relating to preparation and mailing of cc/bcc, copying of documents, and other client requirements. Open new file, perform conflict checks, and at attorneys request draft acknowledgment or engagement letter to client. Continuously maintains file content, indexes, and tabulations. Maintains accurate computer cards and other sources of client/case information. Enters attorney billable time on a regular basis, proofreads, and balances. Maintains attorney calendar by denoting due dates for answers, depositions and other pleadings, hearings, trial calendars, etc. Open and manage or route attorney mail to appropriate counsel. Reviews and confirms all client bills and other invoices and forwards for payment on a regular and consistent basis in accordance with client guidelines. Closes and prepares files for storage. Prepares files or assists paralegals in preparing files for upcoming hearings and depositions. Answers and screens calls for attorneys, communicating with professionalism, respectfulness and tact. Schedule depositions as necessary. Participates as a member of one or more strategic planning committees. Mentor and train new employees in the position. Performs receptionist duties and remains flexible and open to requests for support or assistance outside of the scope of this job description and to other duties as directed by the Management team. The candidate should preferably have Bachelors or better. Should preferably have 3 years of experience of Litigation. Must have knowledge of various court rules and filing requirements. Knowledge of the format of various legal documents including,Requests for Reproduction of Documents, Responses to Interrogatories, Notice of Represent, Rule 200, Certificates of Service, Motions and other pleadings is required. Must have broad knowledge of terminology (legal, medical, other) as it relates to the particular practice area(s). Prepare attorneys for hearings, conferences, depositions, and mediations through direct communication with the attorney and other departments within the firm to prepare litigation binders, e-binders, travel documents, and other necessary documents. Ensure that the attorneys' billable hours are entered in the firm's timekeeping system correctly and in a timely manner. Arrange and coordinate travel, and prepare expense reimbursements for assigned attorneys. Act as liaison between attorneys and other departments within the firm and serve as a resource for attorneys with respect to firm policies, procedures, and facilities. Perform general clerical duties including, but not limited to, filing, scanning, photocopying, and mailing. Demonstrate a high level of professionalism in dealing with confidential and sensitive issues. Provide backup support for other legal secretaries as needed. Provide backup support for administrative support requests. Cover reception area once or twice a week. Assist attorneys with office organization to maximize individual attorney productivity, maintain case lists. Perform other duties as assigned by department manager or supervising attorney. The candidate must have proven working experience in civil litigation as a legal secretary. Possess thorough knowledge of legal procedures, legal documents, and complex legal terminology. Must have the capability to handle highly confidential and sensitive information. Must have excellent verbal and written communication skills and ability to communicate effectively. Must have excellent grammatical and spelling skills. Must have proficient with Microsoft Office programs (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat. Knowledge of using styles and tables of contents in Microsoft Word is required. Type a minimum of 60 words per minute with high accuracy is required. Working knowledge of legal timekeeping and document management programs is required. Basic knowledge of legal citations and working knowledge of Westlaw for legal research is required.
