Legal Secretary The candidate will support a group of attorneys. Will perform complex secretarial, administrative and substantive legal duties. Leverage technology resources to ensure the group of attorneys is operating as efficiently and effectively as possible. Identify most efficient and effective manner to complete tasks. Prepare documents by transcribing, formatting, inputting, editing, retrieving, copying, printing and transmitting text, data and graphics using office software applications. Prepare and coordinate e-filings, as well as filings in state courts if needed. Handle incoming and outgoing mail, faxes and scan documents. Ensure that documents are saved and filed into the appropriate workspaces/folders in FileSite and paper file. Maintain the daily calendar of each attorney including, scheduling appointments, meetings and travel arrangements. Maintain Outlook contacts for each attorney as appropriate. Open files, close files and assist with conflicts checks. Provide support to the attorneys with timesheets and regular billing matters. Request reimbursement for attorneys through ChromeRiver and for client costs through Accounts Payable. Maintain a good working rapport with clients which requires discretion and judgment. Regular and predictable attendance is an essential function of the job. The candidate should have a high school diploma or GED. An associate degree, business school certificate or related education is preferred. Significant prior experience may be substituted for a combination of the educational requirements. Legal Secretary The candidate involves working with multiple attorneys, providing a full range of support, including to, preparation / revision of correspondence, drafting pleadings and documents; calendar maintenance for assigned attorneys; filing and electronic transcription. Position will also manage e-discovery, redaction, duplicating and indexing documents. With attorney supervision prepare chronologies of facts and production charts, perform searches and cull relevant information, organize pleadings, exhibits and appendices for filings, organize relevant documents for attorney review for witness interviews and depositions, and assist attorneys in trial preparation. Responsible for electronic filings for a range of state and federal courts, as well as having direct communication with court personnel, clients and opposing counsel. Engaged in the work of the attorney by demonstrating knowledge and status of current cases and projects. Provide support for up to four attorneys in employment litigation, or other related matters for backup support as needed. Assist with preparation of pleadings and discovery in federal and state court matters and arbitration proceedings. Assist with preparation of federal and state administrative filings. Analyze, review and organize documents and data from materials produced during discovery; and, prepare / coordinate document production and responses to discovery requests. Prepare deposition and record subpoenas according to state and federal regulations; coordinate production of third-party records and summarize some; prepare deposition outlines and summaries. Analyze and review privileged documents. Trial and arbitration preparation; preparation and management of trial exhibits and other trial related assistance. Answer phones and communicate with clients on a daily basis. Act as liaison between internal departments and outside agencies. Prepare / revise correspondence, pleadings, documents and other clerical assignments. Handle a wide variety of complex and confidential, time-sensitive material. Submit conflict checks and open new client engagements as requested. Maintain calendars, CLE, reports and time records. Book and organize travel arrangements including flights, hotels, transportation, make changes to reservations as needed. Maintain docketing for attorneys. Transcribe electronic dictation and schedule depositions. Handle various office and client filing; proofreading documents. Perform other administrative duties as assigned. Should be possessing at least 5 years recent litigation secretarial experience (including electronic filing). Should have familiarity with state and federal rules and procedures.
