Greets clients and visitors; maintains good customer service with external and internal clients; observes confidentiality of attorney-client relationship. Works with Billing Department and billing attorney to review and revise billing Proformas. Assist in finalizing bills for client mailing. Additional duties as assigned. Candidate will have 5+ years of legal secretarial/administrative experience. Paralegal experience also welcomed. Must be self-motivated, detail oriented, confidential, dependable, and display good judgment. Must have excellent customer service skills and telephone etiquette, be team oriented, flexible and a problem solver. Strong computer skills with experience in Windows 7, Microsoft Suite Office 2010 including advanced knowledge in Word, Excel, PowerPoint, and Outlook and a working knowledge of Nuance is necessary. Ensures timely and accurate production of legal documentation including pleadings, discovery, letters, forms, drafts, reports, and other legal documents. Works closely with administrative support staff (word processing, receptionists, business office, etc.); proofs documents returned from word processing; ensures that attorney timesheets are entered and released in a timely manner. Performs overload typing, filing, photocopying or other secretarial duties as time permits and as requested by others. Also, assists other secretaries with their workload as needed. Requirements: Candidate with a high school diploma or equivalent, with an Associate degree in secretarial studies preferred. 2+ years experience required and three to five years experience preferred. 1-2 years on the job experience necessary in order to gain an understanding of law office policies and procedures and produce accurate legal documents with minimal supervision. Ability to transcribe legal documents, correspondence and reports as needed, at 70 wpm preferred. Ability to organize and prioritize numerous tasks and complete them under time constraints. Ability to proofread typed material for grammatical, typographical or spelling errors. Interpersonal skills necessary in order to communicate by phone, email and other methods, and provide information with ordinary courtesy and tact. Must have experience with Microsoft Office: Outlook, Word, Excel, and other software, including file management, redline comparison, and PDF editing programs, in a legal environment. Must have experience working with transactional, corporate, estate planning, probate and other legal documents. Must have ability to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case documents. Perform non-complex arithmetic calculations when verifying calculations on forms documents and check requests; maintain records and filing systems at a level normally acquired through completion of high school or equivalent.
