Legal Secretary/Office Manager Responsibilities: Answer and direct phone calls. Organize and schedule meetings and appointments. Maintain contact lists for leads and clients. Cover the reception desk. Coordinate office procedures. Reply to email, telephone or face to face inquiries. Carry out administrative duties such as filing, typing, copying, binding, scanning etc. Write letters and emails on behalf of other office staff. Greet and assist visitors to the office. Resolve administrative problems. Receive, sort and distribute the mail. Submit and reconcile expense reports. Provide information by answering questions and requests. Handle multiple projects. Prepare and monitor invoices. Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. Produce and distribute correspondence memos, letters, faxes and forms. Assist in the preparation of regularly scheduled reports. Book conference calls, rooms, taxis, etc. Maintain computer and manual filing systems. Handle sensitive information in a confidential manner. Take accurate minutes of meetings. Develop and update administrative systems to make them more efficient. Coordinate repairs to office equipment. Requirements: 2+ years of experience in the field or in a related area. Proven admin or assistant experience. Knowledge of office management systems and procedures. Excellent time management skills and ability to multi-task and prioritize work. Attention to detail and problem solving skills. Excellent written and verbal communication skills. Strong organizational and planning skills. Proficient in MS Office. Qualifications: Proficient in spelling, correct use of grammar and punctuation; Strong attention to detail and organized; Positive, can-do attitude; Excellent proofreading skills; Strong interpersonal skills; Strong sense of urgency and commitment to excellence; Ability to function successfully in a high-pressure, fast paced environment; Ability to provide support multiple people and tasks while meeting targeted deadlines; Experience in scanning documents and working with.pdf s; Must be flexible, willing to work overtime, and occasional weekends; Must be able to lift at least 10lbs and sit for extended periods of time; Strong initiative to go above and beyond specifically, to double check work product for accuracy, ask good questions to cover bases of projects and tasks, and be independently resourceful; Ability to multi-task throughout the day with high level of efficiency; Understand and work around competing deadlines among team members; Proficient in Outlook email/calendar and MS Word experience required.
