Corporate Practice Assistant/Legal Secretary The candidate will support attorneys in the mergers/acquisition and commercial lending practice groups. Support partners and associates with legal and administrative tasks to include document creation, completion and management, opening and closing of files, calendaring, time entry/billing, travel arrangements, meeting/conference scheduling, closing date document preparation and distribution, closing binders and other special projects. Prepares, edits and formats legal documents, including closing documents, signature pages and binders. Manages attorneys calendars, coordinates meetings, schedules conference rooms, and makes travel arrangements as required. Assists with billing process to include entering attorney time, reviewing pro formas (initiates transfers), editing and preparing draft/final bills and cover letters for clients. Prepares forms for expense reports, check requests, reprographic services, etc. Prepares legal documents and correspondence from draft. Opens, prioritizes and distributes mail. Coordinates mailings, deliveries, copying and courthouse filings where appropriate. The ideal candidate should have experience with supporting attorneys in both corporate and financing practice groups. 5+ years of supporting corporate/transactional attorneys in internal and external leadership roles at a large law firm needed. Experience working with both corporate and financing practice groups preferred. Must be proficient with MS Office 2013. Senior Legal Secretary DUTIES: Performing complex legal secretarial activities that may be highly confidential or sensitive, requiring diplomacy and discretion. Creating, editing, and proofreading letters, legal documents, and memos, including checking documents for content and context. Organizing and maintaining all correspondence and documents using the relevant document management system. Managing emails, calendar appointments, and client contact lists. Performing other relevant duties in the particular practice area as directed by the immediate supervisor, including, but not limited to, Practice Area Leader/ Coordinator or Department Head administrative work, practice development initiatives, and project work. Qualifications: Significant experience in a similar role within a medium to large law or professional services firm working for senior lawyers and partners. High proficiency in the use of Word, Outlook, Excel, and PowerPoint. Typing speed of 65 wpm or above. Exemplary oral and written communication skills. Excellent attention to detail, including using correct spelling and grammar. Excellent client service skills. Can-do attitude and flexible approach. Legal Secretary Duties: Type, transcribe and revise all communications and legal documents, charts and tables. Draft, create and update various attorney documents such as docket sheets and case file logs. Organize, prepare and maintain client and office files both in electronic and paper filing systems. Open and sort incoming communications via standard or electronic delivery and distribute appropriately. Process attorney weekly time summaries, expense reports, check requests and travel arrangements which include transportation, automobile rentals, and hotel reservations. Prepare and submit new client and/or new matter forms and sub-files. Working with clients electronic billing systems and monitoring billing processes. Coordinate, schedule and docket/calendar meetings, court reporters, conference calls and client tasks. Proofread all work for both content and context. Requirements: High School Diploma or its equivalent required. Must have 5-7 years legal and/or secretarial experience. Experience in working collaboratively and applying individual commitment to a group or team environment in the spirit of cooperation to successfully complete tasks efficiently and quickly. Experience with document management program iManage DeskSite preferred. Experience with e-filing in both State and Federal Courts with NYCourts.gov or similar mandated e-filing vendor for state filings and CM/ECF for federal filings.
