Compare title policies against title commitments and closing instructions for accuracy. Supervise file clerk. Review and process mail/correspondence. Maintain calendar, travel arrangements, and other administrative tasks. Handle conflict checks. Process expense reports. Update client contact information. Handle time entries and proof reading/editing prebills. Keep track of State Bar requirements/CLE. Answer phones, take messages. Invoicing clients, follow up on past-due invoices. Maintain files. Copying/scanning, and Data entry. Education and experience equivalent to a Bachelor s degree is needed. Must be proficient in Microsoft Office (Word, Excel, Power Point, Outlook). Answer telephone, screen callers, relay messages, and greet visitors. Operate office equipment such as photocopier, fax machine and scanner. Exercise discretion and good judgment over work priorities, and maintain positive relationships with clients, attorneys, legal assistants and other administrative staff. Maintain an organized, neat and clean work area. Requirements: 3-5 years of legal secretarial experience required. Typing skills of 65 wpm. Thorough knowledge of software such as Word, PowerPoint and Excel. Ability to maintain confidentiality and discretion. Ability to multi-task and handle shifting priorities in a fast-paced and time sensitive environment. Ability to maintain regular, on-time attendance. Ability to manage interactions with clients, attorneys and other staff members in a professional and courteous manner.
