Assist in due diligence review, data room management, and related organizational matters. Maintain corporate files and databases. Communicate regularly with attorneys regarding the status of projects and deadlines, and inform attorneys of any issues. Track and record time in the InTapp system. The candidate must have a Bachelor's Degree and/or Paralegal Certificate with 2 years of experience with corporate practices at a law firm; ability to manage and take ownership of numerous tasks simultaneously and maintain organized files; organize large amounts of data, both hardcopy and electronic, for easy filing and retrieval; be flexible, handle pressure and adapt to changing work priorities, workflow and work assignments in a fast-paced transactional practice; deal professionally and communicate clearly and concisely both verbally and in writing with internal and external clients. In particular, several of the litigation partners bring in high level litigation work and remain very involved throughout to monitor and guide the associates participation.
Paralegal Staffing Specialist Duties: Monitor distribution lists for staffing requests. Document requests in tracking tools and staffing update lists; distribute daily request updates. Assist in the recruitment of resources to fill outstanding requests. Serve as primary point of contact for day-to-day staffing issues; escalate as appropriate. Monitor workloads to ensure projects are being handled by appropriate personnel at the appropriate level and to ensure workload is balanced across Business Units and offices. Collaborate with Sr. Manager & Business Unit Directors to ensure team members are meeting the needs of attorneys; confer with attorneys as necessary. Approve bi-weekly timecards in Workday on a schedule that ensures compliance with firm requirements and applicable law. Manage overtime expense by checking Workday time entries against Intapp time entries for consistency; follow-up with staff members regarding unallocated overtime. Monitor team time entry to ensure compliance with time entry policy; address policy violations with team members. Monitor productivity of team and proactively address over or under-utilization. Escalate development and training needs based on staffing requests. Identify shadow and training opportunities to develop the staffing pipeline. Support the Senior Manager in reviewing resumes sourced from Human Resources ( HR ). Participate in candidate interviews and review feedback from interview team. Advise need for replacement case assistants and paralegals based on productivity and staffing needs. Collaborate with HR and other organizational departments to finalize orientation schedule for all new hires. Collaborate with Senior Manager to secure first assignments. Provide paralegal team overview as part of orientation. Recommend Onboarding Buddy to facilitate integration into firm and practice area. Develop lateral and 1st year attorney orientation materials with respect to working with team. For new lateral partners/associates, confer to determine needs. Annual Performance Reviews (Paralegals and Case Assistants). Provide feedback on overall performance of paralegals based on staffing feedback. Collaborate with Senior Manager and HR to prepare rating and promotion recommendations. Escalate performance and employee relations matters to Senior Manager and HR for them to address performance issues that arise outside of the annual review cycle including providing feedback and documentation of performance issues, and monitoring performance. Qualifications: Bachelor's degree is required; Paralegal certification or JD Degree preferred. Prior experience staffing in an Am Law 100 Firm preferred. Experience staffing corporate transactions or as a corporate paralegal preferred. Review Local and Federal Bankruptcy Rules, as well as administrative orders, to assure that filings are in proper form and order. Utilize PACER to prepare electronic filing of pleadings. Review cite form in pleadings for completeness and accuracy in accordance with Blue Book. Assist with the production of debtor's petition, schedules, and statement of financial affairs, 20 largest unsecured creditors, equity holders, and related first-day filings. Draft pro hac vice for attorneys not admitted to the bar in the state of the court proceeding. Craft notices of stay in various pending litigation involving the debtor. Assist with drafting complaints and related pleadings, including discovery, in connection with various adversary matters. Conduct Uniform Commercial (UCC) searches and real property searches to confirm the status of liens on property and/or equipment. Examine and, if necessary, obtain public records relevant to the facts of the lawsuit. The candidate should have a bachelor's degree or comparable work experience. Must have 3+ years of restructuring paralegal experience, with a possible focus on distressed debt trading. Must have worked with Loan Syndications and Trading Association (LSTA) transactions, equity claims, and Par and distressed. A paralegal certificate from an ABA-approved program is preferable. Licensure as a Notary Public preferred. Working knowledge of US Bankruptcy Code and the court procedures, Delaware General Corporate Law, New York Business Corporate Law, and California Corporations Code. An understanding and previous application of the local rules regarding bankruptcy administrative filings. Must have the ability to prioritize and organize multiple tasks in a dynamic working environment. Strong time management skills and a desire to work in a dynamic, collaborative environment are essential. Be attentive to details, have flexibility with your work schedule, and have demonstrated excellent verbal and written communication skills.
