Legal Assistant/Paralegal

Legal Assistant/Paralegal Duties: Bill all time work on a case. Time for each day should be input at the end of each day, or first thing the following day. Make sure all information is complete in Time Matters Case Management Software for the client. Create a notebook. Scan all information and save to appropriate folders in TM. Determine what the next step is in the case and follow through. Scan all mail received daily to the appropriate TM file. Prepare response, if necessary. Forward to client. Prepare drafts of all letters and pleadings in your cases. Once the documents are finalized and signed, will make copies, scan (and save pdf to TM), send to the appropriate people (by email, fax, mail or hand delivery), and file all documents. Create a pleadings index for each file and update as necessary. If in Davidson County, obtain copies of signed Orders from Caselink. If other counties, follow up with Clerks office if signed Orders are not received. Prepare discovery to opposing party. When the responses are received, scan and save all documents to TM and provide client with a zip drive containing copies of all of the documents. While reviewing the discovery, begin preparation of the Statement of Assets & Liabilities, as well as a letter to opposing counsel listing the information still needed from the opposing party. Prepare discovery responses of client. Once finalized, scan and save all responsive documents to TM and provide opposing counsel with a zip drive containing the responsive documents. Add all relevant information from the responsive documents to the Statement of Assets & Liabilities. Prepare Confidential Mediation Statement and provide mediator with notebook prior to the mediation date. Be sure to include COBRA and life insurance information. Prepare documents, questions, and exhibits for hearings, depositions, and trials. Review calendar and attorneys calendar for potential dates to schedule meetings for client and attorney, including meetings necessary for the preparation of hearings, mediation, depositions, and trial, as well as hearings, mediations, depositions and trials. Working on setting a date, place a hold on the appropriate attorneys calendar so there will be no overbooking. Once the date is set, remove all held dates from the calendar. Confirm meetings/hearing/mediations/depositions/trials with client the day before. Once deposition dates are set, prepare a Notice of Deposition and file with the Court. Secure a Court Reporter when needed. Once mediation dates are set, prepare an Agreed Order to Set Mediation, if necessary, and/or confirm with a letter to opposing counsel and mediator. When confirmation letter is received from mediator, provide copy to client. Secure a Court Reporter for hearings, depositions and trial, if needed. Communicate with Office Manager when there is a need to obtain funds from the client for any third party expenses such as a court reporters per diem, mediator etc. as soon as a date is set for a deposition, mediation, hearing or trial. It is also necessary to communicate with the Office Manager regarding replenishing retainer. File all pleadings with the Court (via hand delivery, mail or fax filing) and mail to the appropriate people. Prepare Quitclaim Deed(s) when necessary. Prepare Certificate of Divorce for final hearing. Prepare and file Notice of Insurance prior to final hearing signed by the client. Fax and/or email all letters or other documents to opposing counsel and client. File all documents for each case in the notebooks. Scan and attach all documents for each case to TM. Pack bags for attorney(s) for Court, mediations and depositions. Attend meetings, mediations, depositions and Court, as requested by attorneys. At the conclusion of each case, prepare conclusion letter (with survey) to client and end checklist. Scan all final documents to TM. Return original documents to client. Notify Office Manager that the file is ready to be closed. Review client bills, make necessary changes, approve and return to Office Manager. Assist with telephone coverage when needed. Requirements: Enjoy problem solving and digging into complex issues; Work well independently with minimal direction; Have excellent communication skills, and the ability to know their audience, be it judges, attorneys, other paralegals, clients, or third party experts; superior writing skills, and the ability to draft correspondence, legal documents, memorandums, and various legal forms; have a good understanding of legal terminology and the process of conducting legal research; Are accomplished in the use of technology applications that are common in law offices, including Word, Excel, PowerPoint, litigation support software such as Time Matters, and legal research technology such as Westlaw and LexisNexis; Are a good listener who has the ability to take orders and follow directions; Enjoy working with the public, and have patience with clients who have continual questions about their case; Don t mind working with relatively large amounts of paperwork on a continual basis; Understand the necessity of maintaining confidentiality; Act and dress professionally; Usually have a thick skin when it comes to abrupt, short-tempered attorneys with looming deadlines; Are able to anticipate an attorneys needs and have the ability to solve problems without direct supervision; Usually have to perform a certain amount of clerical work along with the substantive legal duties that they find to be more challenging; Possess an ability to work well under pressure; Are willing to put in overtime, especially when preparing for a trial; Have a high level of reading comprehension, and the ability to extract the major points out of their reading quickly and accurately; Are seasoned multi-taskers who are capable of doing several things (or more) at once; Have great analytical ability; Are able to go with the flow and change their direction and priorities on a moments notice; Don t need a great deal of encouragement or positive reinforcement to know that they are doing a good job; Are detailed oriented, or don t mind working for someone who is.
