Legal Secretary Duties: Provide excellent internal and external customer service to attorneys, clients and visitors. Serve as a liaison between administrative departments and lawyer/legal staff in the Firm. Answer, screen, and place calls in a professional manner. Take accurate messages and promptly inform attorneys of the messages taken. Communicate clearly and accurately any issues with workload to the assigned attorneys on a timely basis. Interpret instructions to produce quality documents and keep legal staff apprised of the status of their work and any problems encountered with systems or programs. Prioritize, manage multiple assignments and communicate the status of assignments in a timely manner. Meet and greet clients in a professional manner. Show discretion and keep information confidential when necessary. Work in a teamed environment and provide secretarial support to multiple lawyers/legal staff on the team including assisting with handling overflow work and practice specific responsibilities. Keep Desk Reference information up to date and keep it easily accessible for use by other Practice Assistants. Make travel arrangements (including transportation, lodging, and meals), and prepare business itineraries. Arrange overtime coverage with Document Production department for lawyers and legal staff. Assist with client development and research. Manage and submit expense reports. Manage activity and availability report programs. Plan and organize workflow to comply with established time constraints in order to meet deadlines. Carry out projects assigned effectively and on a timely basis. Work in an organized and efficient manner. Use good judgment at all times and asks follow up questions if instructions are unclear. Qualifications: Candidates with secretarial/office experience and/or a diploma from an accredited secretarial program/school, and a general knowledge of office procedures and technology will be considered for Level 3 positions. A high school diploma is necessary. A college degree is advantageous. Exposure to a large international law firm is beneficial. Notary Public license is beneficial. 6+ years legal secretarial experience and a working knowledge of office procedures and technology. Reviews client billing for accuracy; edits content/grammar using the firms billing application. Performs administrative functions such as opening new matters, preparing check requests for vendor statements, expense reports and other administrative tasks. Maintains Outlook Calendars; organizes and schedules small and large meetings in person and/or via conference calls which may include arranging for conference rooms and meals. Makes travel arrangements utilizing the firm travel agency. Works with attorneys to monitor incoming fax and email regarding client matters. Maintains and updates client files and emails following the Firms electronic document management system procedures. Maintains accurate and up-to-date databases such as name/address lists, client/matter numbers; marketing databases such as the firms global CRM system; and legal document service lists. Follows firm procedures to open new business following established New Business Intake procedures. Participates in office secretarial team leader and back-up system for absence coverage. Performs any other administrative tasks as may be assigned by the attorneys or Business Manager. Qualifications: High School Diploma or equivalent required. College degree or equivalent experience is preferred. 5+ years' experience as a legal secretary in order to be familiar with court rules, procedures, calendaring requirements to allow incumbent to perform litigation and administrative duties in a professional services setting. Ability to read and write in English in order to prepare routine office correspondence, pleadings and forms; ability to proficiently use firm provided software programs for word processing, document management, timekeeping, business expense claims, check requests for vendor expenses (Ex: Microsoft Outlook, Word, Excel, Powerpoint; FileSite, Adobe Acrobat, Intapp, Chrome River, iRM); perform non-complex arithmetic calculations when verifying calculations on forms and documents and when maintaining records and files at a level normally acquired through high school or the equivalent. Must be able to pass (above average scores) the following tests: typing (75wpm); dictaphone transcription (75wpm); spelling; sentence structure; proofreading; punctuation; litigation test.
