Maintain a superior degree of confidentiality when handling sensitive and confidential documents, information and files. Calendar deadlines according to court and agency rules. The candidate should preferably have a High school diploma, associates or bachelors degree. Minimum of 4 years litigation secretary experience. Solid understanding of technical legal terminology, court filings, federal and state court/agency rules and procedures is required. Strong ability to write and communicate effectively, tactfully and professionally with attorneys, clients, court personnel and vendors is necessary. Prepare subpoenas of individuals and documents. Track records via subpoena and manages all information related to subpoenas. Contact attorney service to arrange for service of process. Send subpoenas to attorney service for service of process and following up on Proof of Service. Prepare administrative record. Prepare exhibits and exhibit lists and notebooks. Assist with coordination of all other trial-related logistics such as delivery of boxes to court and creation of trial box. Maintain coordinating with secretary to ensure all hearing and trial documents are stored in the appropriate client-matter workspace within iManage. The candidate must have a paralegal certificate from an approved program and/or a strong background in legal procedures and litigation. 5 years of paralegal experience is preferred. Must be proficient in the Firms litigation support software. Must have strong organizational skills and must be able to handle the demands and pressures of a fast paced environment. Ability to handle other detail-oriented tasks is necessary and have the ability to handle multiple projects simultaneously, Ability to work effectively under pressure of tight deadlines is required. Excellent written and oral communication skills are needed. Knowledge and proficiency in Word and iCreate, including general formatting and maintains expertise in this area is necessary.
