Legal Secretary The candidate will be providing administrative support to several lawyers. Maintaining the lawyer's calendars by entering their hearings, meetings, tasks, and deadlines into the Firm's electronic case management software. Ensuring that deadlines are met by keeping multiple agendas and providing timely reminders. Greeting visitors and performing initial screening and intake of clients. Answering phone calls, taking notes/messages, and redirecting calls when appropriate. Communicating with opposing counsel and other parties, clients, and judicial administrative staff via email, fax, over the phone, or in person. Scheduling depositions, site inspections, hearings, and meetings with opposing counsel and other parties, clients, and judicial administrative staff. Transcribing notes and taking dictation, as well as typing correspondence and documents and proofreading and editing legal documents prepared by others. Preparing and processing standard legal documents including subpoenas, notices of hearing, proofs of service, summonses, appeals, and motions, as well as performing data entry for various court forms and documents. Transmitting legal correspondence to clients, witnesses, opposing counsel, and court officials by electronic filing, mail, fax, or personal delivery. Scanning and copying all incoming and outgoing documents and correspondences. Preparing, organizing, and copying exhibits for hearings and trials. Preparing and organizing trial notebooks or binders. Filing case documents in an organized manner for easy access and updating the Firm's electronic case management software. Maintaining and updating client contact details in the Firm's electronic case management software. The candidate should have a High school diploma or equivalent qualification. Must have proficiency in spelling, punctuation, grammar, and other English language skills. Have outstanding time-management, transcription, and typing skills. Have the ability to multitask and be comfortable dealing with a diverse pool of people. Must have knowledge of administrative and clerical procedures. Must possess good written and verbal communication skills. Have familiarity with legal terminology and the court system. Must have basic computer literacy proficiency with MS Windows and MS Office (Word, Excel, PowerPoint, Outlook, etc.). Have the ability to work with legal technology (court-filing computer systems, transcription software, Dictaphone, Firm's electronic case management software, etc.).
