Legal Secretary / Assistant The candidate organizes, plans, directs coordinates office operations and do other related duties such as preparing, typing, serving, processing, or filing legal documents.Organize and maintain client s documents in paper and electronic filing systems at the Commonwealth Courts and Federal Courts using File and Serve Xpress and Pacer. Prepare demand letters, summons, complaints and other pleadings filed in court. Organizes, schedules and coordinates appointments such as depositions, trials, court hearings and consultation. Research laws, court decisions, or other documents or information related to cases handled by the Firm s attorneys. Prepares briefs, legal memorandum, statements of issues, or other legal documents for the consideration of the Firm s attorney. Organize cases by establishing and organizing file; monitoring calendars: meeting deadlines; documenting actions; inputting information into file database and case management software; confirming case status with attorney. Assist the Firm s attorney in general, e.g., assists the attorney in preparing for depositions, hearings and trials. Maintains case costs by verifying outstanding balances with attorney, clients and vendors. Track hours and prepare billing statements for all clients and vendors. Account all clients billings and post it in quick books. Maintains financial records and tax documents. Initiate communication and respond to clients inquiries. Review files and prepare reports. Determines need for and requisitions supplies, equipment, and repair and maintenance services. Performs other related work as assigned. The candidate requires Associate's degree, preferably Bachelor degree from a 4 college or university. Should have experience in working in a law firm is required. Must have excellent customer service skills, excellent written and oral communication skills. Should understands budgeting processes and awareness of profit and loss concepts. Previous customer service related experience of 2-5 years is preferred. Accounting background a plus. Must have knowledge in accounting duties such as accounting reports and tax preparation. Strong technology aptitude required, proficient in: Excel spreadsheets, Adobe Acrobat, QuickBooks accounting software, Microsoft Outlook, PowerPoint and proficient in the use of legal research software such as Westlaw and File&Serve are needed. Must have strong legal research and writing skills. Must have good problem solving skills and information gathering techniques. Must demonstrate experience providing technical legal or professional support in a legal setting. Must have advanced or better experience working with MS software programs. Closing Date: 1/26/2018.
