Personal Injury Law Firm Legal Secretary/Receptionist Duties: Providing assistance to callers, including answering phones, screening calls, transferring calls, and providing professional assistance. Scanning all mail; importing mail into client management software. Scanning all outgoing mail. Providing secretary support to staff and attorneys. Maintaining a close and highly responsive relationship to the day-to-day activities of the attorneys and paralegals. Preparing/ensuring preparation of all files for meetings and inform clients 2 days prior. Providing assistance to all persons who come into the office. Confirming all appointments for the attorneys. Importing all callers into client management software and send out correspondence and follow-up on same. Processing all postage for outgoing mail. Following up with all co-counsel cases for status.
Qualifications: High school or equivalent preferred. Excellent written and verbal communication skills. Forward-looking thinker and problem solver with a business-focused mindset. Desire to go above and beyond for all required tasks. Proven ability to multi-task, follow-up, effectively prioritize and manage workload. Proficient in Microsoft Office Outlook, WordPerfect, and Aderant Total Office. Commitment to being a team player and contributing to the culture. Typing 50+ wpm. Spanish Speaking a large plus. Total Office Aderant/Client Profiles a plus.
