Legal Secretary The candidate will enhance attorney effectiveness by providing information-management support; representing the attorney to clients and others. Will manage duties ranging from supporting the paralegals in file handling, correspondence with clients, calendaring and scheduling meetings, managing and delegating tasks to the clerical assistants. Provide legal and advanced-level executive administrative support and function as a traffic controller for the team. Must be able to exercise considerable discretion and independent judgment and take initiative while handling administrative tasks. Responsible for creating a professional, efficient office environment that is an authentic expression of the firm s mission statement by enabling the firm to provide top quality legal services. Initial review, index, and analysis of depositions. Initial review, index, and analysis of medical records. Subpoenaing of records based upon plaintiff s initial responses. Tentative ruling; Monitoring, calling opposing counsel and court, receiving calls from opposing counsel. Calls to and information exchange with witnesses. Prepare responses to discovery. Preparing verification. Assemble medical records and letter to doctor or expert. Case management statement. Discovery (preparation of requests, index, analysis, responses.). Electronic Filling in Federal Courts. Provide general administrative and clerical tasks. Assist with projects as needed. Assist with client inquiries, seeking out answers and resolving issues. Meet clients, vendors and other visitors to the firm; both in person and over the phone. Organize and maintain files and other work necessary to ensure the office runs efficiently. Assist with filing, scanning, archiving and file destruction. Prepare and submit new matter reports and expense reports. Billing of Time. Prepare other financial summaries as requested. Manage, receiving mail and deliveries. Schedule and calendaring. Manage attorney calendar. Bachelor's of Arts degree or equivalent is needed. Understanding client service practices especially as they pertain to a legal service organization. Understanding of the essentials for providing customer service that results in sustainable customer satisfaction is needed. Strong writing and communication skills are needed. Proficient computing skills especially in the use of MS Office software (Word, Excel, PowerPoint, Outlook), Acrobat is needed. Proficient use of calendar and database software preferred (Experience with TimeMatters, TimeSlips, HotDocs a plus) is needed.
