Attorney Resource Center Assistant Duties: Works under the general supervision and according to the Firm s established policies, guidelines, and procedures. Provide support to Firm personnel and it s clients; maintain positive contact with attorneys (including outside counsel), support staff, clients and vendors; and observe and maintain confidentiality of Firm and client matters. Document handling, including document editing, printing, scanning, copying and filing. Organize and maintain filing in accordance with Firm procedures and standards. Schedule and calendar appointments, such as department meetings/seminars, attorney and client meetings. Coordinate conference room requests including catering and audio/visual equipment needs. Coordinate travel arrangements and assist with logistical requirements that pertain to the travel. Perform administrative functions such as preparing expense reports, check requests, routing approved vendor statements to Accounting for payment. Schedule messengers and other vendors for pick-up and delivery of documents. Edit/correct time narratives through the Firm s time entry system. Serve as a liaison for associates to help them navigate the Firm s departments and resources. Provide daily check-ins with attorneys to create positive working relationships with the Attorney Resource Center. Qualifications: Bachelor's degree preferred, in lieu of degree, 3 years of relevant experience will be considered. 1+ year office experience in a highly demanding legal or professional services setting. Multitask in a highly demanding, deadline driven environment. High level of attention to detail. Ability to take initiative and work both independently and in a team environment. Ability to proofread typed material for grammatical, typographical and spelling errors. Ability to type standard correspondence, memoranda and similar material in draft or final form from written material or dictation. Exemplary client service skills, with the ability to interact with various departments, executive personnel, vendors and contractors. Excellent written, verbal and organizational skills. Maintain and handle confidential and sensitive information with discretion. Promote effective work practices, working as a team member, and showing respect for all Firm personnel. Proficiency in MS Office applications.
